Job description

We are seeking a caring and detail-oriented individual to join our Public Health (PH) Team. This Administrative Support (AS) VI position is a member of the PH team, working with the PH Manager, to provide integrated, strength-based, family-centered PH care. The successful candidate works independently in a fast-paced environment and plays a critical role in maintaining effective and efficient operations within the PH program. Responsibilities include assisting in office administration operations; supporting scheduling activities, developing reports; collating data; establishing communication channels with other departments and/or external agencies; minute taking, orienting, and supervising AS staff at multiple sites, and assisting with projects and initiatives as required.Must anticipate the needs of management, staff, & clients. This position reports to the Operation and/or Program Manager(s). The AS VI is privy to sensitive information & will be required to use this information to complete tasks.This position requires: Prioritize daily workload to meet the needs of the health centre/program. Demonstrate excellent interpersonal & communication skills, both verbal & written as well as task analysis, problem-solving, formatting, grammar, syntax, & proof-reading skills. Work and adapt within short timelines, deal with numerous interruptions, & work independently as part of a larger multidisciplinary team, in a busy multi-tasking environment. Organizational, planning & time management skills. Independent problem-solving skills & attention to detail. Leadership, change management, & project management skills. Carry 25lbs of equipment, carry out awkward & repetitive movements for up to 7.75 hours, including sitting, standing and/or bending for long periods of time.Please note: This position will be operating out of the East Edmonton Health Center.

Required Qualifications:

Completion of post-secondary education (e.g. diploma in business or office administration, specialized external certification).

Additional Required Qualifications:

Formal medical office administration education from a recognized post-secondary institution. Equivalent combination of education & experience may be considered acceptable. Minimum 2 years related experience relevant to secretarial/ AS support. The successful candidate must have a positive attitude, demonstrate a professional image, exceptional customer service ability, be a strong team player, and be flexible with the ability to adapt to change. Demonstrated effective written and verbal communication skills. Public relations skills are essential. Deliver exceptional customer services. Advanced proficiencies with various computer applications including E-People, time entry, RMS, MS Office, Connect Care, SharePoint, E-Facilities, data entry, e-mail, Outlook and internet access. Adhere to strict organizational policies, procedures, and legislated requirements regarding patient confidentiality. Comply with appropriate hand hygiene techniques. Prepares and disseminates required documentation to support operational/program activities. Work in a loud, chaotic, busy environment with clients of all ages. Perform administrative duties to support programs and services within the Edmonton Public Health portfolio and completed with a high-level accuracy independently but also interdependent within a larger team environment across multiple sites/programs. Compose, edit and format documents, reports and correspondence according to established templates, procedures or specific instructions.

Preferred Qualifications:

Mindfulness about cultural and gender diversity and positive regard towards clients. Experience coordinating/managing administrative projects an asset. Conflict Resolution training and experience is considered an asset. Experience managing a team is considered an asset. Experience in multiple public health or community programs is considered an asset.Woodcroft Community Health Centre Team currently operating out of East Edmonton Health Centre until their new site is ready in 2027.
