Job summary

Primary Care Alberta in Medicine Hat is seeking an Administrative Support III to handle front-desk bookings and reception for Chronic Disease Management across the Southeast zone. You will manage referrals, book and rebook appointments for a staff of 30 clinicians and direct inquiries to the appropriate team.

You will use Connect Care to enter referrals, confirm reminders, and maintain referral and appointment workflows.

Qualifications

  • Completion of Grade 12 or equivalent.
  • Minimum of 2 years front line clerical work.
  • MOA or Unit Clerk education preferred.
  • Connect Care training certification for Ambulatory Scheduler and Referrals Coordinator preferred.

Responsibilities

  • Greet and assist patients at front desk and answer multi-line calls.
  • Book and rebook appointments for 30 clinicians across Medicine Hat sites.
  • Navigate referrals to appropriate team and consult with Clinical Team Lead when needed.
  • Maintain Connect Care Referral and Appointment Work-ques and perform reminder calls.

Job description

The main purpose of this role is booking and reception. This role manages incoming referrals and books appointments for a staff of 30 clinicians who work out of the Medicine Hat sites within Chronic Disease Management in the Southeast zone. This position will navigate incoming referrals as appropriate and consult with Clinical Team Lead when necessary to ensure timely access to services. This role will support all Alberta Healthy Living Programs including Diabetes, Cardiac Rehab, Supervised Exercise, Weight Management, COPD and Bariatric Specialty Clinic. This position collaborates with other programs in southern Alberta. As front-line reception for Chronic Disease Management, this role attends and assists patients and members of the public as they arrive and is responsible for answering multi-line telephone and directing calls appropriately. Included in the daily duties would be attending patients in Connect Care, booking and rebooking appointments as needed and navigating inquiries to the appropriate person as well as completing reminder calls. This position is also responsible for the maintenance of Connect Care Referral and Appointment Work-ques.
