Alberta Health Services (AHS) in Red Deer is seeking an Administrative Support IV to manage department staffing schedules, including regular, relief and vacation coverage. You will ensure payroll accuracy, create master schedules that meet collective agreements and budget considerations.
The role requires post-secondary education, strong MS Office skills, confidentiality and excellent communication. Regular part-time, 0.50 FTE, dayshift within Laboratory unit at Red Deer Regional Hospital.
Reporting to the Clinical Supervisor in the area, this position is responsible for maintaining department staffing schedules including the scheduling of regular, relief and vacation. Oversees the accuracy and submission of updates to the schedule/timesheets and submits any necessary corrections for the payroll clerks. Department Staffing: Create master schedule for applicable department(s) ensuring all collective agreement requirements are met. Monitor and adjust schedules within applicable guidelines including budget considerations. Schedules staff for routine/holiday/sick coverage taking into consideration vacation, appointment, shift trades and personal leave requests, in compliance with all applicable collective agreements, departmental guidelines and APL policies. May also include on-call scheduling. Adjust schedules (within approved guidelines) as required to meet operational needs and unexpected absences. Communicates with staff regarding scheduled shifts, if applicate, as well as other pertinent coverage and scheduling information. Responds to routine employee questions in a timely manner. Refers unusual requests or questions to Clinical Supervisors as applicable. Liaise with management regarding staff issues reporting unusual incidents to the Clinical Supervisor. Documents and maintain attendance and scheduling records accurately and efficiently. Performs scheduling duties, ensuring accurate entries and approvals for timekeepers. Responds to requests in a timely manner. Other duties as assigned. Professional and ethical responsibility to protect privacy, use confidential information appropriately, and maintain the confidentiality and security of all information related to patients, staff and the business of APL.
As an Administrative Support IV, you will performed advanced administrative or specialized tasks to support complex procedures, practices and initiatives within a department or program.
Completion of post-secondary education (e.g. course(s) in office of business administration, medical office assistant).
Intermediate level of Microsoft Office required, including Microsoft Excel and Word. Excellent interpersonal and verbal communication skills. The ability to maintain confidentiality regarding employee issues at all times is required. Strong customer service focus. Excellent organizational skills with good attention to detail and accuracy. Excellent critical thinking skills.
Previous scheduling creation experiences an asset.
