Temporary - Up to 8 months, Full time, On Site

Reporting to the Associate Director, the Administrative Support role is responsible for preparing technical documents, coordinating locates, managing confidential records, and performing general office duties. This position supports both internal and external stakeholders in a fast-paced, detail-oriented environment.

Your key responsibilities

  • Provide clerical and administrative support to the Environmental Utilities department.
  • Prepare and distribute technical documents and correspondence.
  • Coordinate utility locates and manage confidential files and records.
  • Maintain office equipment and handle general office tasks such as filing and sorting.
  • Support both internal and external stakeholders through effective communication and service.

  • Proven ability to provide exceptional customer service.
  • Excellent communication skills, both verbal and written, ensuring confidentiality, accuracy, and timeliness.
  • Self-motivated and able to make sound decisions to resolve routine work problems.
  • Exceptional organizational and record-keeping skills.
  • Ability to work independently and within a team environment, demonstrating accountability for accuracy and quality.
  • Advanced proficiency in Microsoft and other software, ERP computer applications, and office productivity tools.
  • Knowledge of applicable Environmental, Occupational Health, and Safety Codes Regulations.
  • Ability to manage multiple tasks in a fast-paced office environment.
  • Ability to maintain confidentiality.

Qualifications

  • Successful completion of a one (1) year certificate in Office Technology or equivalent from a recognized post-secondary institution.
  • One (1) year practical experience in a clerical and/or administrative support position with a public/customer relations focus.
  • A management approved equivalent combination of training/education and experience may be considered.
