This position is funded by the Government of Canada through Canada Summer Jobs and is subject to the availability of funding.

Terms of Employment: 8-10 weeks, max 280 Hours. Remote, four-day at max 32 hours from Monday to Thursday, based out of anywhere in Canada.

Requirements: Laptop, computer, reliable internet.

Summary:

We Matter is an Indigenous youth-led organization dedicated to Indigenous youth support, hope and life promotion. Our mission is to help every Indigenous youth feel loved, seen, heard, and supported, through hope, culture and strength.

Our founding project, the We Matter Campaign, is a national multi-media campaign in which Indigenous role models and allies from across Canada submit short videos, written and artistic messages sharing their own experiences of overcoming hardships and communicating with Indigenous youth that no matter how hopeless life can feel, there is always a way forward.

Description:

We are seeking an Administrative Assistant to join our team!

We Matter is hiring an Administrative Assistant under the Canada Summer Jobs program. This individual is an Indigenous youth between the ages of 15-30 that is highly motivated, and is interested in working with a remote-based, national Indigenous non-profit organization. The successful candidate will work under the guidance of We Matter’s Operations and Strategic Initiatives Lead.

You believe Indigenous youth are healers and changemakers, and ensure Indigenous youth have the right support, capacity and resources. You possess the knowledge and skills to connect with people and keep the community informed on a national level. You lead from your heart, from a place of compassion and have experience in work environments which support young people.

Tasks & Responsibilities:

  1. Maintain the innovative, grassroots youth and community-centred, youth-led vision and voice of We Matter.
  2. Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports and related materials.
  3. Set up and maintain manual and computerized information filing systems.
  4. Determine and establish office procedures to ensure smooth day-to-day operations.
  5. Record and prepare minutes of meetings, ensuring accuracy and timely distribution.
  6. Arrange travel schedules, coordinate itineraries, and make reservations for team members, guest facilitators, and youth participants.
  7. Assist with organizing virtual and in-person events, including scheduling, communication with participants, and logistical support.
  8. Compile and organize data, statistics and other information to support reporting and organizational needs.
  9. Respond to email inquiries, phone calls, and requests for information, providing excellent communication and support to staff and external stakeholders.
  10. Manage office supplies, including inventory, ordering, and distribution as required.
  11. Support the development and distribution of resources such as toolkits, promotional materials, and packages to communities and organizations.
  12. Assist in managing schedules, calendars, and appointments for staff and organizational events.
  13. Help update and maintain digital systems, such as databases, cloud storage, and collaborative tools (e.g., Google Workspace or similar platforms).
  14. Support with social media scheduling and online communications, ensuring timely responses and engagement.
  15. Assist in organizing and supporting events, including the #HOPEForum, a two-week in-person gathering in August (official dates and location TBD).
  16. Assist with post-event tasks, such as organizing event feedback, compiling notes, and supporting follow-up communications.

Skills/Knowledge:

  1. Multi-tasking and analytical skills
  2. Secondary school diploma required or lived experience.
  3. Administration experience is considered an asset.
  4. Must be willing to travel within Turtle Island and is available for weekend work.
  5. Knowledge of and/or willing to learn about Indigenous history, language and cultural practices.
  6. Must be comfortable with email and phone correspondence.
  7. Ability to organize and set priorities; work independently and as a team.
  8. Must be available for a two week-long in-person event, the #HOPEForum, in August (official dates and location within Turtle Island TBD).
  9. Must be willing to get and provide a Vulnerable Sector Check as well as their First Aid & CPR. All associated costs will be covered by We Matter.
  10. A Driver’s Licence is considered an asset.

What we offer:

Remote work based out of anywhere in Canada.

Four-day work week, Monday through Thursday.
