About the Position

Reporting to the Commercial Manager, the Administrative Specialist will maintain records for ADM’s flour mill.

Duties and Responsibilities
  1. Responsible for daily record keeping and reporting of flour production from the Montreal flour mills and daily position reports.
  2. Manage grain accounting at the location, including daily entry and recording of wheat unloads, generating settlements for locally delivered wheat, managing orders, trucking, inventories, and collaborating with the Winnipeg team on usage, grind, wheat reception, and CN tracking. Must understand plant operations and be involved in all processes.
  3. Coordinate records management, ensuring all records are retained and stored properly and for the appropriate duration.
  4. Handle all month-end reporting of production, shipments, and inventories to corporate accounting for both locations.
  5. Potentially handle HR duties such as payroll backup, monitoring vacation/absenteeism, maintaining government permits, crewing, and tracking employee leave.
Required Skills and Qualifications
  • Highly motivated and competitive candidates are preferred.
  • Strong interpersonal skills, clear communication with plant workers, peers, and management.
  • Proficient in spreadsheet, database, and word processing software within a Windows environment.
  • Knowledge of Word, Excel, and PowerPoint.
  • Ability to work well in a small team, foster team building, and be cross-trained on various office tasks.
  • Capable of thriving in a fast-paced environment.
  • Fluent in French and English, both written and spoken.
Education or Work Experience
  • A university degree or college diploma in business or accounting is beneficial but not required.
Additional Information
  • Must have authorization to work legally in Canada.
  • No relocation support provided.
  • Compliance with local/provincial legislation and safety/EHS requirements is mandatory.
