Salary: $1,913.27 – 2,342.49 bi-weekly ($49,936 – 61,138/year)

The Ministry of Public Safety and Emergency Services has significant oversight and involvement in public security and emergency services. The department is responsible for the administration of law enforcement, correctional services, policing and police oversight, and public safety. The Ministry also coordinates large-scale emergency and disaster prevention, mitigation, preparedness, response, and recovery programs.

This position provides senior administrative support services to the Lac La Biche Community Corrections Office. You will coordinate the daily administrative operations of the office, which includes reception, payroll, inventory control, data entry, IT coordination, records management, and handling sensitive and confidential information.

Key Responsibilities

Office Reception

  • Answer telephones and assist clients, community partners, and the public in person.
  • Provide assistance and professionalism to complex clients and utilize de-escalation techniques when needed.
  • Provide direction to clients and the public on the process of Probation.
  • Provide phone cover for other district offices as needed.

General Office Administration

  • Prepare confidential documents, routine correspondence, and Court ordered reports.
  • Compose correspondence for the Manager, Supervisor, or Probation Officers.
  • Maintain a filing system and manage records according to Records Management Schedules.
  • Attend meetings, take minutes, and maintain a Bring Forward System.

Data Entry

  • Operate the CPIC terminal to access, manage, and input information.
  • Ensure data accuracy across various systems.

Payroll Administration

  • Provide support in the area of pay and benefits.
  • Review employee timesheets for completion and accuracy.

Site Coordination

  • Request and monitor office computer IDs and troubleshoot computer issues.
  • Manage office telecommunication equipment.

Inventory Control

  • Assist with inventory management and ensure accurate records are maintained.
  • Monitor supplies and coordinate supply orders.

Qualifications
A High School Diploma plus a minimum of 3 years of related administrative experience.
Equivalency: Directly related experience or education considered on a one-to-one basis.
Requirements:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong attention to detail and ability to manage multiple tasks
  • Strong keyboard skills.
  • Proficiency in Adobe/Acrobat Reader.

There is one temporary (1 year) full-time position available. (It may lead to a permanent opportunity).
