Pomerleau is seeking an experienced Administrative Assistant to support its Procurement and Finance teams in Montreal. You will manage calendars, organize meetings, translate documents, and handle communications across departments to keep operations running smoothly.

Qualifications

  • 5 to 7 years of administrative or executive assistant experience.
  • Diploma (DEP/AEC/DEC) in Administration or related field.
  • Full professional proficiency in French and English, written and spoken.
  • Advanced proficiency with Microsoft Office Suite.

Responsibilities

  • Provide calendar management support for Procurement and Finance leadership teams.
  • Coordinate meetings, prepare/translate documents, track action items.
  • Draft and manage correspondence and internal communications using SharePoint, Teams, and email.
  • Arrange travel and manage executive expenses and corporate card administration.
  • Support planning and logistics for internal events and projects.
  • Assist with internal inquiries and administrative needs for Procurement and Finance.
  • Monitor registrations and communicate with government authorities on IDs.

The Administrative Assistant, Procurement and Financet plays a key role in providing administrative, operational, and coordination support to the Procurement and Finance teams. The incumbent serves as a central point of coordination among internal stakeholders and contributes to the smooth execution of operations, the quality and accuracy of information, and the overall efficiency of departmental processes.

Working in a dynamic environment, the Executive Assistant ensures effective administrative support, facilitates communication across teams, and helps optimize activities and priorities in support of business objectives.

What you will do
  • Provide proactive and efficient calendar management support to the Procurement and Finance leadership teams, including scheduling, prioritization, and coordination of competing demands.
  • Coordinate and organize various meetings, including the preparation and translation of supporting documents and presentations, as well as tracking action items and commitments.
  • Draft, process, and manage a variety of correspondence, publications, and internal communications, including distribution list management and the optimization of communication tools such as SharePoint, Teams, and email.
  • Manage travel arrangements through corporate booking platforms, as well as executive expense reports and corporate credit card administration.
  • Coordinate and support the planning, content development, and logistics for internal events, special projects, and team activities.
  • Respond to internal inquiries and assist employees with a range of administrative needs related to the Procurement and Finance departments.
  • Monitor compliance registrations and coordinate communications with government authorities regarding compliance-related identification numbers.
This role could be for you if you have
  • 5 to 7 years of experience in an administrative support and/or executive assistant role.
  • A vocational, college, or post-secondary diploma (DEP, AEC, or DEC) in Administration, Secretarial Studies, or a related field.
  • Full professional proficiency in both French and English, written and spoken.
  • Advanced proficiency with the Microsoft Office Suite.
  • Strong organizational skills and a demonstrated ability to work proactively, maintain confidentiality, exercise sound judgment, work independently, and effectively manage priorities.
