Job Summary

Reporting to the Supervisor of Human Resources, the Administrative Assistant will provide Administrative Support to the Human Resources Team

Direct Reports

This position has no direct reports.

Responsibilities

  • Perform routine reception and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers and visitors.
  • Distributing and maintaining confidential and highly sensitive material to appropriate team members and personnel files.
  • Coordinating employee events, meetings, functions, catering, scheduling interviews, and employee testing.
  • Maintaining and ordering office supplies.
  • Distributing and posting notices of vacancies on the appropriate bulletin boards.
  • Producing and typing employment verification and reference letters.
  • Recording, preparing, and distributing minutes of all department meetings.
  • Conducting reference checks.
  • Reviewing and entering of Above and Beyond Award nominations.
  • Enrolling and maintaining gym memberships and deductions.
  • Enrolling and maintaining parking and ID badges for staff/volunteers.
  • Participating in monthly Health and Safety inspections.
  • Sorting and distributing mail.
  • Other duties as assigned.

  • Demonstrated ability to work independently, coordinating and prioritizing multiple assignments.
  • Commitment to continuous quality improvement in the provision of administrative support services.
  • Excellent organizational, information/data management skills, well developed judgment and decision-making skills.
  • Ability to implement continuous quality improvement initiatives to support the core functions of the department.

Qualifications

  • Graduate of post-secondary human resources program
  • Previous work experience in a Human Resources Department required.
  • Experience working with HR Information Systems (preferably AS/400 Infinium).
  • Experience taking meeting minutes.
  • Demonstrated Intermediate-level knowledge and experience in Microsoft Office Suite programs: Word, Excel, Power Point; Outlook.
  • French Language proficiency an asset.
