Responsibilities

  • Provide day-to-day administrative support to the Chair, including drafting emails, letters, reports, and other correspondence.
  • Edit, format, and distribute documents and correspondence as required.
  • Organize logistics for meetings, consultations, and events, both in-person and online.
  • Provide effective notetaking and prepare meeting records, summaries, and follow-up documentation.
  • Coordinate travel arrangements and related logistics for the Chair as required.
  • Liaise with campuses, departments, and external stakeholders regarding program planning and operational activities.
  • Manage incoming and outgoing correspondence, mail, and departmental communications.
  • Operate and maintain office equipment including computers, printers, and photocopiers.

Administrative Assistant, Chair, Trades & Resource Technology

Salary: $52,428 to $63,972 per year

Location: Fairview

Start Date: September 28, 2026 to June 30, 2027

Qualifications:

  • Post-Secondary Certificate in office administration, business administration or equivalent experience

Nature and Scope of Work:

Reporting to the Chair, Trades & Resource Technology, this position provides comprehensive administrative, operational, financial, and customer service support for Trades & Resource Technology programs. The Administrative Assistant works closely with faculty, staff, students, industry partners, and regulatory agencies to support program delivery and departmental operations.

Duties and Responsibilities:

Providing Administrative Functions for the Chair

  • Provide day-to-day administrative support to the Chair, including drafting emails, letters, reports, and other correspondence
  • Edit, format, and distribute documents and correspondence as required
  • Organize logistics for meetings, consultations, and events, both in-person and online
  • Provide effective notetaking and prepare meeting records, summaries, and follow-up documentation
  • Coordinate travel arrangements and related logistics for the Chair as required
  • Liaise with campuses, departments, and external stakeholders regarding program planning and operational activities
  • Manage incoming and outgoing correspondence, mail, and departmental communications
  • Operate and maintain office equipment including computers, printers, and photocopiers

Student and Customer Service Support

  • Respond to inquiries from students, staff, employers, industry partners, and the public in person, by telephone, and electronically
  • Register students and process program-related documentation and book orders, as required
  • Complete student follow-up activities and provide information regarding programs and services
  • Assist students in navigating and accessing College systems and resources
  • Receive, distribute, and track certificates and program completion documentation where applicable
  • Provide reception and front-line customer service support for the department

Financial and Records Administration

  • Process invoices, including coding, approvals, and submission in accordance with college procedures
  • Generate financial reports and assist with budget monitoring and reconciliation activities
  • Support monthly reconciliation of corporate credit card statements
  • Maintain filing systems in accordance with college records management procedures and ensure confidentiality of all records
  • Digitize, organize, and maintain departmental records and data
  • Track and maintain departmental contact lists, records, and operational information
  • Manage the procurement, inventory, and distribution of office supplies and materials

Program, Industry and Operational Coordination

  • Support program delivery and departmental initiatives across Trades & Resource Technology programs
  • Support apprenticeship, trades, and resource technology programming through the coordination of documentation, reporting, communications, and operational activities
  • Coordinate meetings, industry events, and operational activities, including scheduling, room bookings, and logistics
  • Develop and maintain relationships with employers, industry partners, and regulatory agencies
  • Assist with compliance requirements related to Northern Lakes College policies and procedures and external agencies including Alberta Industry Training (AIT), Alberta Boilers Safety Association (ABSA), and Alberta Transportation and Economic Corridors
  • Maintain action-item tracking and follow up on commitments arising from meetings and operational activities
  • Research and support improvements to administrative systems, processes, and workflows

Skills/Knowledge:

  • Proficiency in Microsoft Office Suite and enterprise systems
  • Financial administration and budget support experience
  • Meeting coordination and minute-taking skills
  • Ability to manage multiple priorities and deadlines
  • Experience with Unit4 or other student information systems

Contacts (Internal and External):

Internal

  • Frequent contact with faculty, staff, managers, and administrative support personnel to coordinate program delivery, financial processes, student services, and departmental operations

External

  • Frequent contact with students, employers, industry representatives, government agencies, vendors, and community partners to support program administration, regulatory requirements, and customer service activities

The Successful candidate must provide College or University transcripts and a clean Criminal Record Check to Human Resources prior to commencement.

This position is covered under the Collective Agreement between Northern Lakes College and the Alberta Union of Provincial Employees.
