Job summary

First Nations Financial Management Board (FMB) in Canada is seeking an Administrative Assistant to support Corporate Services and keep daily operations running smoothly. You will manage calendars, arrange travel, respond to inquiries, prepare documents, and help with meetings and events.

Ideal candidates bring post-secondary education in business or equivalent experience, 3+ years in admin roles, and strong Microsoft 365 skills. Bilingual asset and commitment to Indigenous communities valued.

Qualifications

  • Post-secondary education in Business Administration or related field or equivalent experience.
  • Minimum 3 years of administrative support experience preferred.
  • Proficient with Microsoft 365 applications (Word, Excel, Outlook, PowerPoint).
  • Highly organized with attention to detail and multiple priorities.
  • Strong communication and customer service skills; able to build relationships.
  • Ability to take initiative, solve problems, and adapt quickly.
  • Discretion handling sensitive information; experience with vendors is an asset.
  • Experience with Indigenous organizations is an asset; English fluency required; French an asset.
  • Commitment to learning about Indigenous cultures and communities.

Responsibilities

  • Provide administrative support to Corporate Services and keep daily operations running.
  • Manage calendars, schedule meetings, and assist with travel arrangements.
  • Respond to calls, emails, mail, and inquiries in a professional manner.
  • Prepare, review, and organize documents; ensure accuracy and currency.
  • Coordinate meetings, events, room bookings, and catering.
  • Order supplies, monitor stock, and assist with vendor coordination.
  • Maintain office spaces, equipment, security access, and safety requirements.
  • Guide staff on administrative processes and access to resources.
  • Collaborate with colleagues to ensure consistent processes and excellent service.

What You Will Do:

  • Provide administrative support to the Corporate Services team and help keep daily operations running smoothly.
  • Manage calendars, schedule meetings, and assist with travel arrangements when needed.
  • Respond to phone calls, emails, mail, and general inquiries in a professional and timely manner.
  • Prepare, review, and organize documents while ensuring information is accurate and up to date.
  • Coordinate meetings, workshops, events, and special projects, including room bookings and catering arrangements.
  • Order office supplies, monitor inventory levels, and support vendor and contractor coordination.
  • Help maintain office spaces, equipment, security access, and workplace safety requirements.
  • Provide guidance on administrative processes and help staff access the resources they need.
  • Work closely with colleagues across the organization to support consistent processes and excellent service.
  • Contribute to a positive, respectful workplace and assist with other administrative duties as assigned.

Who You Are:

  • Post-secondary education in Business Administration, Office Administration, or a related field, or an equivalent combination of education and experience.
  • Minimum of (3) years of experience in an administrative support role is preferred.
  • Proficient in Microsoft 365 applications, including Word, Excel, Outlook, and PowerPoint.
  • Highly organized with strong attention to detail and the ability to manage multiple priorities.
  • Strong communication and customer service skills, with the ability to build positive working relationships.
  • Ability to take initiative, solve problems, and adapt in a fast-paced environment.
  • Comfortable handling sensitive information with professionalism and discretion.
  • Experience working with vendors, contractors, or external service providers is an asset.
  • Experience working with First Nations governments, Indigenous organizations, or Indigenous communities is an asset.
  • Fluent in English, with strong written and verbal communication skills; French language skills are an asset.
  • Committed to learning about and supporting Indigenous cultures, histories, and communities.
