The Assembly of First Nations (AFN) is seeking an Administrative Support to aid the Director, Water Sector, in developing and managing sector administration. Based in Ottawa, ON, the position reports to the Director, Water Sector, and requires strong organizational skills, attention to detail, and bilingual capability (French is an asset).

Qualifications

  • Secondary school completion and administrative studies certificate or equivalent with 2+ years of relevant experience.
  • Advanced interpersonal and written communication skills are required.
  • Ability to interact effectively at all levels and with diverse individuals.

Responsibilities

  • Perform general office work, clerical duties, and data management for the Sector.
  • Organize Sector files, records and databases.
  • Coordinate travel for staff and committee members (flights, hotel, car rental).
  • Prepare mail-outs, information kits, and meeting materials.
  • Schedule meetings and book facilities; track contracts and finances per AFN policies.
  • Maintain accounting records and assist in budgeting and expenditures.

About The AFN

The AFN is an advocacy organization that takes direction and fulfills mandates as directed by First Nations in-Assembly through resolutions. As a national advocacy organization for First Nations, the AFN seeks to advance First Nations Inherent and Treaty Rights through the development of policy, public education, and where applicable, the co-development of legislation to build First Nations capacity.

Position Overview

The Assembly of First Nations (AFN) is seeking to staff the role of Administrative Support. The Administrative Support takes direction from and reports to the Director, Water Sector. The incumbent provides assistance in the development and overall administrative management of the Sector.

Functions & Accountabilities
  • To perform all general office work, clerical duties, data storage, collection and processing necessary information for the effective operation of the Sector.
  • Organizing and maintaining the Sector files, records and data base.
  • Making travel arrangements for staff and committee members of the Chiefs Committee and Technical Committee by booking of flights, confirming Hotel Reservations, car rentals.
  • Organizing meeting arrangements by preparing mail-outs, call packages, assembling information kits, photocopying and collating information.
  • Booking meeting facilities for meetings and workshops and ensuring all administrative and financial details are recorded, monitored and contracts are fulfilled and processed in accordance with AFN policy and procedures
  • Maintain copies of accounting records of the Sector.
  • Filing, classifying and organizing all incoming correspondence, reports and studies and maintaining file index of all correspondence and resource materials.
  • Prepares draft correspondence and uses mail merging techniques.
  • Type minutes, meeting summaries and proofread correspondence, reports, statements, invoices, forms and other documents from notes or tape recording devices.
  • Open, sort and route incoming mail.
  • Preparing and completing cheque requisitions, purchase orders, travel expense claims for staff and committee members of the Policy Sector.
  • Reconciling budgetary reports produced by Finance with program records.
  • Financial tracking of program contribution and expenditures.
  • Facilitates cross-divisional coordination of travel and plans.
  • Assists in coordinating internal meetings and off-sites, as requested.
  • Maintains and schedules appointments and diaries for the Sector staff.
  • Communicating in writing with other AFN departments as required
  • Coordinating the distribution of internal and external correspondence from Sector
  • Serves as a point of contact for external constituencies on matters pertaining to the Director.
  • Communicates directly through emails and telephone on behalf of the Director, with government representatives, Chiefs, First Nations and all other contacts, on matters related to Director's programmatic initiatives.
  • Assists the Director with the planning of the Sector’s Chiefs Committees, Technical Committees, and/or Working Groups.
  • Provides assistance at the Chiefs-in-Assembly (Annual General Assembly and Special Chiefs Assembly) meetings held twice annually in July in different locations and December in the Ottawa area, as required.
  • Conducts other duties as assigned by the Director.

  • Successful completion of secondary school and certificate in administrative studies or equivalent combination of education and 2+ years of relevant experience
