Job summary

AviSina Properties is seeking an Administrative Assistant to manage day-to-day office operations in Vancouver, ensuring efficient and organized workflows. The role serves as the primary contact for communications and supports the team with accurate filing, reports, and presentations.

The ideal candidate will be highly organized, detail-oriented, and capable of maintaining a professional and responsive office environment.

Qualifications

  • Two+ years of office administration and filing experience required.
  • Strong English communication, both spoken and written.
  • Proficient in MS Office and Outlook.
  • Post-secondary education/courses in related fields are assets.

Responsibilities

  • Handle incoming calls and emails, directing inquiries to the right team.
  • Organize physical and digital filing systems and maintain document management.
  • Perform administrative tasks with accuracy (filing, copying, scanning).
  • Support general office operations and keep meeting rooms ready and tidy.
  • Manage office supplies and equipment, including ordering and upkeep.
  • Prepare internal documents, reports, and presentations as needed.
  • Own administrative processes to ensure consistency and follow-through.
  • Provide additional administrative support as needed.

Job description

The Administrative Assistant is responsible for the day-to-day administrative operations of the office, ensuring everything runs smoothly, efficiently, and in an organized manner. This role serves as the first point of contact for incoming communications and plays a key part in maintaining structure, responsiveness, and overall office functionality. The ideal candidate is highly organized, detail-oriented, and takes pride in keeping things in order.

Responsibilities include:
  • Manage all incoming calls and emails, responding where appropriate and directing inquiries to the relevant team members
  • Maintain and organize physical and digital filing systems, including ongoing document management and upkeep of the filing room
  • Perform administrative duties such as filing, copying, scanning, and document preparation with accuracy and attention to detail
  • Support general office operations, including managing boardrooms, coordinating cleaning, and ensuring the office is presentable and functional at all times
  • Oversee office supplies and equipment, including ordering, restocking, and coordinating maintenance (e.g., printers, coffee machines, water, etc.)
  • Help prepare internal documents, reports, and presentations as required
  • Take ownership of administrative processes, ensuring consistency, follow-through, and a high standard of organization
  • Provide additional administrative support to the team as needed
Qualifications/Experience:
  • At least two years of office administration and filing experience is required.
  • Demonstrate strong spoken and written English communication skills with excellent reading comprehension and the ability to articulate ideas clearly and effectively.
  • Proficient in MS Office and Outlook
  • Post-secondary education/courses in related fields are considered an asset
