Job summary

TULLOCH in Sault Ste Marie, ON, seeks an Administrative Assistant to support the office and its projects. You’ll handle general admin tasks, coordinate meetings, travel arrangements, and document management under the Administration Manager.

The ideal candidate has post-secondary education in Office Administration, 3-5 years related experience, advanced MS Office skills, and strong organizational and communication abilities.

Qualifications

  • Post-secondary education in Office Administration or related program.
  • 3-5 years of experience in a related role.
  • Advanced skills in MS Office (Word, Excel, PowerPoint).
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication.
  • Valid Class G driver’s licence.

Responsibilities

  • Provide general administrative and clerical support including mailing, scanning, and copying.
  • Organize office-related events and maintain service schedules.
  • Greet visitors, answer phones, and respond to inquiries.
  • Draft, edit, and proofread memos, letters, emails, reports, and other documents.
  • Maintain electronic and hard copy filing systems.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Participate in proposal meetings to coordinate information from various disciplines.
  • Assist with editing and maintaining project-related documents in templates.
  • Keep records on proposals in progress and assist with related duties.

Based in Sault Ste Marie, ON, the Administrative Assistant will report to the Administration Manager and will have a wide range of duties supporting the office and its various projects. We are looking for an Administrative Assistant that would be involved with several aspects of administrative and clerical support. You’ll be part of a dynamic team that provides exceptional service to many clients. This position is a one-year contract covering a maternity leave and the wage range is $25.00 - $28.00 hourly.


What You’ll Do:


  • Provide general administrative and clerical support including mailing, scanning, and copying

  • Organize office-related events such as Board Room setup, Christmas party, and maintenance service schedule

  • Greet visitors, answer and direct phone calls, and respond to electronic inquiries

  • Draft, edit, and proofread memos, letters, emails, reports, and other documents as required

  • Maintain electronic and hard copy filing systems

  • Schedule and co-ordinate meetings, appointments, and travel arrangements

  • Participate in proposal meetings to coordinate the inclusion of information from various disciplines

  • Assist with editing and maintaining project-related documents in our corporate templates

  • Assist with managing, monitoring, and maintaining the proposal database, files, and systems

  • Keep accurate records on proposals in progress

  • Run company errands as needed and perform all other related duties as assigned

What You Should Bring:

The ideal candidate will have a post-secondary education in Office Administration or a related program. Additionally, you should have:



  • 3-5 years of demonstrated experience in a related role (considered an asset)

  • Advanced skills in MS Office Suite (Word, Excel, PowerPoint)

  • High motivation with results-oriented focus

  • Superior organizational and multi-tasking skills

  • Strong interpersonal and critical thinking skills

  • Excellent communication skills (oral and written)

  • Unwavering commitment to health and safety in the workplace

  • Valid Class G driver’s licence
