Raise is currently hiring a contract team member on behalf of our client. They’re expanding their team to meet growing needs, making this a unique opportunity to work with an industry leader.
Note: The primary pay rate is based on T4 classification; however, we will also consider applications from candidates interested in an INC classification, where applicable.
Job Overview:
- The Administrative Support Coordinator provides comprehensive administrative support to the Cromer Area team, ensuring the efficient operation of day-to-day business activities. This role is responsible for a broad range of administrative, financial, human resources, safety, and operational support functions, including data management, financial processing, reporting, training coordination, travel arrangements, and employee support. The successful candidate will contribute to a collaborative work environment while maintaining compliance with company policies, procedures, and safety standards.
Key Responsibilities:
- Provide administrative support to area staff through accurate data entry, record maintenance, report preparation, correspondence management, and general office administration.
- Process weekly employee time entries within Workday.
- Code, review, and process invoices through MarkView, ensuring timely approvals.
- Create, update, and maintain work orders within Oracle Financial systems.
- Administer and maintain Master Service Agreements as required.
- Ensure adherence to corporate financial policies, procedures, and internal controls.
- Prepare and process expense reports for employees using iExpense within Oracle Financial.
- Respond to and resolve accounts payable inquiries from suppliers and vendors in a professional and timely manner.
- Coordinate monthly accrual submissions and track invoices exceeding established reporting thresholds in accordance with company guidelines.
- Provide support and guidance to employees regarding routine human resources inquiries.
- Assist in coordinating and facilitating on-site training activities and schedules.
- Organize meetings, prepare supporting documentation, and coordinate travel arrangements.
- Record, maintain, and enter safety meeting minutes into Encompass.
- Support the delivery of annual and site-specific safety orientations and maintain contractor safety training records.
- Assist with onboarding activities for new employees, ensuring required documentation and processes are completed.
- Complete all required safety training and maintain an Individual Development Plan (IDP) to support ongoing professional growth.
- Respond to ISNetworld-related inquiries and provide administrative support as required.
- Assist with content management, updates, and administrative tasks related to the Prairie Region SharePoint site.
- Source and purchase office supplies while ensuring cost-effective and competitive pricing practices.
- Provide administrative coverage and support to other Administrative Support team members throughout the Prairie Region as required.
- Handle incoming and outgoing mail, maintain personnel records, and support additional administrative initiatives as assigned.
Qualifications:
- High school diploma or GED required.
- Post-secondary education in Business Administration, Office Administration, or a related field is considered an asset.
- Minimum of three (3) years of administrative or office support experience in a professional environment.
- Experience working with financial and administrative systems is preferred.
- Knowledge of Oracle Financial, MarkView, Workday, iExpense, Encompass, ISNetworld, and SharePoint is considered an asset.
- Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
- Strong organizational, communication, attention-to-detail, and problem-solving skills.
- Demonstrated ability to work independently while remaining an active and supportive team member.
- Professional, approachable, and customer-focused interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
