Job summary

LASIK MD in Calgary, AB is seeking an Administrative Assistant for a permanent full-time role. You will be the central contact for the Central Administrative Office, handle month-end tasks, and manage purchase orders and invoices in Navision and our CRM.

You will work with Ophthalmology experts, enjoy a stable, rewarding career, and join a top Canadian company recognized for its Best Managed designation. Monday–Friday 8:00 AM–4:00 PM with some Saturdays on rotation.

Qualifications

  • Experience in healthcare is an asset.
  • Comfortable with computers and Microsoft 365.
  • Ability to multitask in a fast-paced environment.
  • Strong communication and teamwork skills.

Responsibilities

  • Serve as the main contact for CAO requests and coordinate admin tasks.
  • Ensure month-end tasks and reports are completed on time.
  • Enter POs and reception confirmations in Navision.
  • Process invoices in the CRM and perform audits and follow-ups.
  • Approve and submit patient financing transactions.
  • Support clinic projects and audits as needed.
  • Provide backup for clinic positions when required.
  • Support daily chart audits and management requests.
  • Contribute to Risk Management by reporting safety concerns.

Your tasks at a glance
  • You are the main contact person for all Central Administrative Office (CAO) requests (Examples include: Accounting inventory request, requests from IT, Purchasing or HR, following up on delivery orders, etc).
  • You ensure all month end tasks and reports are completed and submitted on time.
  • You accurately enter all POs and reception confirmation in Navision software
  • You ensure all invoices are correctly entered in our CRM software, completing weekly audits and follow ups.
  • You approve and submit all patient financing transactions to our financing provider (verify plan codes and amounts).
  • You oversee clinic aesthetics projects & follow up on actions from audits delegated by the Center Director.
  • You jump in as a backup for clinic positions if needed (by being cross-trained).
  • You ensure the completion of the Daily Chart Audit (to be sent by email to the Center Director).
  • You assist with any other requests or projects requested by the Center Director or management team.
  • You support the organization’s Risk Management program by identifying and promptly reporting patient safety concerns, incidents, or potential risks to clinic management, to assist in the organization’s overall efforts to identify, report, and mitigate risks.
A clear view of your assets
  • You are comfortable with computers, technology, and Microsoft 365 (knowledge of EMR systems is an asset).
  • You have an interest in the medical field and have a passion for delivering excellent customer service.
  • You find it easy to connect with others and quickly build trust.
  • Your experience in the health care field is considered an asset (ex: medical assistant, physiotherapy assistant, optometry assistant, orderly, dental assistant, pharmacy lab technician, sterilization assistant, animal health technician assistant, veterinary assistant, etc.).
  • You are looking for a fast-paced, dynamic work environment where your ability to work in a team and excel at multi-tasking will be an asset.
  • Schedule: You have flexibility to work between Monday and Friday 8:00 AM - 4:00 PM, with rotational Saturdays.
  • Required: You are able and willing to occasionally help out partnering clinics in the Calgary & Edmonton area when needed (planning & expenses covered by Vision Group).
