Job summary

YMCA Centre for Immigrant Programs in Halifax is seeking a part-time Program Assistant to support daily operations and service delivery. You will help clients navigate spaces, assist with check-in and inquiries, and ensure a welcoming, organized program environment.

Ideal candidates are detail-oriented, proactive, and able to work constructively with staff and clients in a dynamic setting. Benefits include YMCA membership and wellness services.

Responsibilities

  • Provide logistical support to clients during program delivery.
  • Assist clients with check-in, directing to resources, and inquiries.
  • Offer on-site assistance to participants and staff.
  • Maintain welcoming, safe, and organized spaces for activities.
  • Assist with setup and teardown of spaces and materials for events.
  • Support data entry, filing, and basic documentation.
  • Collect basic feedback after events to inform improvements.
  • Assist with recruitment and promotional efforts.

Position Status: Part-Time

Compensation: $17.69/hour

About the role:

Under the leadership and direction of the ProgramCoordinator, and in collaboration with program staff, the Program Assistantwill provide direct, hands-on support in the daily operations of programs andservices. This role focuses on assisting staffand clients in a variety of tasks, ensuring smooth delivery of services andprogram activities. The ideal candidate will be detail-oriented, proactive, andready to assist with arange of service delivery tasks in a dynamic, client-focused environment.

In this role, you will:
  • Providelogistical support to clients during program and service delivery,including helping them with basic tasks and navigation of the space andpaperwork
  • Assist clientswith basic tasks like checking in, directing them to appropriate resourcesor staff, and answering simple inquiries
  • Offeron-site assistance to clients as they engage with the program
  • Ensureclients feel welcomed and supported by offering a friendly and helpfulpresence
  • Assist with the setup and organization of program space and materials for events oractivities, such as workshops, orientation sessions, or community meetings
  • Helpclean up and organize after events, returning spaces to their originalcondition
  • Providesupport to the team which may include data entry, file organization, andbasic documentation tasks
  • Assist withthe collection of basic feedback from clients after events or activitiesto inform program improvements
  • Providegeneral assistance to the program team as needed, helping with tasks that support the overallfunction of the program
  • Help maintain a welcoming, inclusive clean, and organized environment for clients andstaff
  • Supportthe team with recruitment and promotion efforts
Education and skills qualifications:
  • Strongattention to detail, organizational skills, and the ability to managemultiple competing deadlines and tasks
  • Abilityto present information clearly and concisely
  • Excellentinterpersonal and communication skills, with a respectful and inclusiveapproach to working with clients, coworkers, and partners
  • Demonstratedactive listening and problem-solving
  • Cooperative,adaptable, and positive team player
  • Advanced proficiency inMicrosoft Office (e.g., Publisher, Excel, Word, Office 365 apps, etc.)
  • Abilityto maintain confidentialityand appropriate boundaries withclient

  • Abilityto create welcoming, safe, and inclusive program environments
  • Experienceworking with diverse communities, youth, seniors, or newcomers (an asset)
  • AdditionalLanguage is an asset.
