We are seeking a detail-oriented and reliable Full-Time Accounts Payable Clerk to join our small but dynamic accounting team. In this role, you will support all aspects of the accounts payable process and general accounting operations. The ideal candidate is organized, efficient, and capable of managing multiple responsibilities in a fast-paced, project-based environment.

This position can work in any of our Ontario office locations (Richmond Hill, Southampton or Waterloo)

What are the responsibilities for the Accounts Payable Clerk?

The position involves but is not necessarily limited to the following duties.

  • Receive, verify, and process vendor invoices.
  • Match purchase orders, receiving reports, and invoices for accuracy.
  • Reconcile vendor statements and resolve discrepancies in a timely manner.
  • Maintain organized AP records and ensure compliance with company policies and procedures.
  • Monitor accounts to ensure payments are up to date and flag overdue invoices.
  • Support the preparation of financial reports and documentation for audits.
  • Communicate with vendors and internal project teams to clarify billing details and resolve issues.
  • Track and allocate costs to appropriate engineering projects and job codes.
  • Ensure compliance with contract terms and project budgets when processing invoices.
  • Maintain digital and physical filing systems for accounting documents.
  • Assist with onboarding new vendors and setting up payment terms.

Qualifications :

  • High school diploma or equivalent required; associate degree / certificate or coursework in accounting preferred.
  • 2+ years of experience in accounts payable or general accounting, preferably in a small business or project-driven environment.
  • Familiarity with accounting software (e.g., QuickBooks)
  • Strong attention to detail and organizational skills.
  • Proficient in Microsoft Excel and Word.
  • Excellent communication and problem-solving skills.
