Position Summary

The Accounts Payable Administrator will be responsible for maintaining an accurate record of accounts payables and invoices as well as general office duties. This role involves scanning invoices, uploading invoices into finance system, verifying the accuracy of electronic invoices, and maintaining vendor files.

Schedule: 40 hours Monday to Friday

What you will do

  • Receive, sort, prepare, enter and code invoices by ensuring purchase orders, receiving’s, and invoices are matched then set up for payment.
  • Prepares and enters cheque requests, expense reports, and manual cheques for various companies.
  • Prepare various spreadsheet reports; petty cash, expense allocation, Owner Operator accrual summaries, etc.
  • Determines and uses the proper account codes and obtains appropriate approvals.
  • Ensure vendors are paid on a timely and accurate basis to avoid service charges.
  • Order Office, Safety and Warehouse supplies and uniforms as needed.

What You’ll Bring

  • 1-2 years of experience in a similar role.
  • College diploma; or trade apprenticeship certification.
  • Post-secondary education in Accounting or Office Administration is an asset.

  • Time management.
  • Superior interpersonal, verbal, listening, and communication skills.
  • Must be able to respond to questions and make calls regarding billing problems.
  • Strong Computer skills; highly proficient with Microsoft Word, Excel, and Outlook.
  • Organize workload and ensure deadlines are met.
  • High degree of accuracy and attention to detail.
