We are seeking: FULL-TIME PAYROLL AND ACCOUNTS RECEIVABLE ADMINISTRATOR

Job Description:

Reporting to the Director of Finance, the Payroll and Accounts Receivable Administrator is responsible for accurately processing payroll and managing accounts receivable functions to ensure timely collection and smooth financial operations. The ideal candidate is detail-oriented, organized, and thrives in a fast-paced environment, has excellent analytical skills, and can maintain confidentiality while handling sensitive financial information.

Responsibilities include, but are not limited to:

  • Process new employee information in ADP
  • Code, enter, and process substitute hours
  • Process bi-weekly and monthly payroll
  • Prepare payroll month-end cheques for Accounts Payable processing
  • Issue Records of Employment (ROEs)
  • Maintain TIM for Ontario Teachers’ Pension Plan, including year-end reconciliation
  • Perform EHT and WSIB year-end reconciliations
  • Monitor and maintain the Billing Management system
  • Monitor Accounts for non-payments, delayed payments, and other irregularities; follow up on dishonored payments (NSFs) and overdue accounts
  • Collect outstanding payments via phone, email, invoice/statement follow-ups
  • Process one-off payments through Merchant Services and Billing Management system
  • Maintain data (special coding for all payment and charges) for tax receipt preparation; compile manual lists for irregular payers (e.g., grandparents, businesses, foundations, stock payments)
  • Process fee adjustments (decreases/increases), tuition discounts, credit card administration charges, refunds, etc.
  • Review and balance tuition deposits for bank reconciliation
  • Assist with the audit process (balancing accounts, preparing schedules, scanning documents, etc.)
  • Perform other duties as required

Qualifications:

  • Proficiency in Microsoft Excel (required)
  • Knowledge of ADP and/or Blackbaud (an asset, but not required)
  • Background in payroll and/or accounting (an asset, but not required)
  • Strong written and verbal communication skills
  • Strong attention to detail and a high level of accuracy in data entry and financial reporting
  • Excellent organizational and time management abilities; with the ability to meet tight deadlines
