Program: Career and Youth Services (CYS)

About the Position:

The AO provides front-line support services to the Youth Leadership Millennium (YLM) and assists with the administrative functions of the program. The AO will be responsible for processing all purchases and financial records, organizing and maintaining up to date records, organizing and taking meeting minutes, and compiling data and reports.

Reports to: Program Manager

Key Duties & Responsibilities:

  • Provides administrative support in keeping office records, maintaining participants’ files, and compiling statistics and reports.
  • Creates and generates content to post on social media platforms (Facebook and Instagram), and manages advertisements’ payments as required.
  • Compiles risk assessments and helps coordinate with external vendors regarding field trips, volunteer trips, or training.
  • Performs reception duties, such as responding to inquiries made in person or by phone. Assists in the development of flyers, brochures, and other marketing materials to promote the program and youth program activities.
  • Compiles project statistics and aggregates data.
  • Document necessary data and communicate with co-workers about new resources.
  • Supports PQI peer reviewing regarding co-workers’ paperwork alignment with expected requirements.
  • Maintains the recordkeeping of both electronic and physical files.
  • Assists in marketing the program to referring agencies, external community partners, and the general public.
  • Registers applicants and confirms appointments for information sessions and workshops.
  • Maintains office inventory, such as program supplies and cleaning supplies.
  • Provides administrative support to staff and clients.
  • Handles invoices, prepares purchase orders, and processes payments on for the program.
  • Assists the Program Manager with reconciling monthly, quarterly, and annual financial statements.Supports program staff with various duties, including booking interviews, gathering evaluation survey feedback, and arranging meetings.Helps Program Manager with onboarding of new staff and supporting staff’s needs.Performs other related tasks as assigned by Program Manager or Program Director.
  • Represents S.U.C.C.E.S.S. at various networking meetings.
  • Provides staff training on updated administrative procedures as necessary.
  • Organizes special events, including venue bookings, creating agendas, confirming attendees, purchasing decorations, and ordering refreshments.

Education, Training and Experience:

  • Diploma/Certificate in Accounting/Finance, Business or related fields
  • A combination of relevant education and experience may be considered
  • Experience in working with immigrants, newcomers, and refugees
  • Experience with administrative systems development and implementation
  • Experience in working with underserved youth or vulnerable youth
  • Experience in program marketing and promotion
  • Minimum 1 year experience in the non-profit sector
