Job description

The Administrative Officer provides administrative, supervisory and clerical support to the three business units that make up the Enterprise Division – Golf Services, Food Services, and the Filming Office within the Parks, Recreation and Culture Department. Acting as an operational hub for these revenue-generating functions within the department, the incumbent streamlines financial and office processes, coordinates event logistics, and ensures each unit receives consistent, high-quality administrative service. An incumbent supports department-wide operations; supervises and participates in the work of one or more clerical staff; assists with the preparation of the department budget; processes department invoices; participates in planning and coordinating department events; reviews, develops and implements new office procedures. Considerable independence of judgment and action is exercised in most aspects of the work, with the more complex problems and matters of policy and those of a contentious nature referred to a supervisor. Performs related work as required.

Qualifications include completion of Grade 12 supplemented by a post-secondary program in public administration, plus considerable related experience or an equivalent combination of education, training and experience. The successful candidate will have thorough knowledge of business English, spelling and punctuation and of standard office practices and procedures; and considerable knowledge of the functions and objectives of the Parks, Recreation and Culture Department; regulations, policies, rules and procedures applicable to the work performed. Furthermore, the Administrative Officer will have the ability to arrange and coordinate meetings and events; coordinate the preparation of agenda items with various divisions; prepare and maintain a variety of records and files, including processing a variety of accounts receivable and accounts payable transactions; assist in the preparation of the departmental operational budget; assign, check and supervise the work of one or more clerical staff, and to participate in hiring same and as required, to train staff.
