As a Regulatory Affairs Coordinator, you will play a key role in managing permit applications and regulatory compliance for short-term rental properties across multiple markets. You will research local regulations, prepare and submit permit documentation, and ensure all approvals and renewals remain up to date. Working at the intersection of regulatory research, operations, and real estate, you will help navigate complex municipal requirements and maintain strong relationships with government authorities. Your work will support operational continuity, minimize compliance risks, and enable business expansion in a highly regulated industry. You will collaborate with cross-functional teams to interpret regulatory changes, resolve permitting challenges, and improve internal processes. This fully remote opportunity is ideal for a proactive, analytical, and detail-oriented professional who thrives in a fast-paced, international environment.

Accountabilities
  • Permit Application Management: Research, prepare, review, and submit permit applications for short-term rental properties, ensuring documentation is complete, accurate, and aligned with applicable local regulations.
  • Compliance Records and Renewals: Maintain organized and up-to-date records of permits, approval conditions, renewal deadlines, and compliance status, ensuring that all regulatory obligations are tracked and addressed on time.
  • Regulatory Monitoring: Monitor changes in municipal codes, zoning laws, local ordinances, and other regulations affecting short-term rental operations. Communicate relevant updates and their potential implications to internal stakeholders.
  • Government and Municipal Relations: Establish and maintain professional relationships with municipal authorities and government representatives to support permit applications, clarify requirements, and manage approval conditions.
  • Regulatory Documentation: Draft and review professional correspondence, permit submissions, compliance reports, and regulatory updates, ensuring clarity, accuracy, and consistency.
  • Compliance Risk Assessment: Identify potential regulatory risks, evaluate their operational implications, and recommend practical measures to prevent violations and maintain compliance.
  • Regulatory Research and Interpretation: Investigate complex legal and regulatory requirements and translate findings into clear, actionable guidance for internal teams without specialized legal knowledge.
  • Approval Condition Management: Track and coordinate the fulfillment of conditions imposed by municipalities, ensuring that applicable requirements are met and properly documented.
  • Process Improvement: Identify opportunities to streamline permitting workflows, improve recordkeeping, strengthen compliance tracking, and increase operational efficiency.
  • Cross-Functional Collaboration: Serve as a key point of contact for internal teams seeking guidance on municipal requirements, government regulations, and permitting procedures.
  • Independent Operational Execution: Manage multiple applications, regulatory deadlines, and compliance-related priorities with minimal supervision while maintaining accuracy and accountability.
Requirements
  • Professional Experience: At least 5 years of professional experience in an operational, fast-paced environment. Experience working with a US-based company is preferred.
  • Relevant Industry Background: Experience in regulatory affairs, compliance, permitting, legal operations, real estate, or short-term rental operations is a strong advantage.
  • Educational Qualifications: Bachelor's degree in Finance, Economics, Public Policy, Engineering, Urban Planning, or a related field.
  • Regulatory Research Skills: Demonstrated ability to research, interpret, and summarize complex regulations, municipal requirements, zoning laws, and compliance obligations.
  • Written and Verbal Communication: Excellent English communication skills, with the ability to draft precise, professional documentation and explain regulatory requirements clearly to diverse stakeholders.
  • Organizational Excellence: Strong planning and time-management skills, with the ability to manage multiple permit applications, maintain accurate records, monitor renewal deadlines, and meet competing priorities.
  • Analytical and Detail-Oriented Approach: Ability to review complex documentation, identify regulatory requirements, detect inconsistencies, and ensure accuracy throughout the permitting process.
  • Problem-Solving Mindset: Proactive approach to identifying compliance challenges, assessing potential risks, and developing effective solutions.
  • Technology Proficiency: Familiarity with Salesforce, Google Workspace, and project management platforms such as Asana or Jira, or similar tools.
  • Stakeholder Management: Ability to communicate professionally with government authorities, municipal representatives, and internal teams to clarify requirements and resolve issues.
  • Independence and Accountability: Ability to work autonomously in a remote environment, take ownership of responsibilities, and maintain productivity with minimal supervision.
  • Adaptability: Comfortable working in a rapidly growing organization where priorities, regulatory requirements, and operational processes may evolve.
  • Remote Work Readiness: Ability to collaborate effectively with distributed teams and manage regulatory responsibilities across multiple locations.
