Job summary

Jobat is seeking a Commercial Administration Assistant to support the Commercial department and ensure proper coordination between departments, with accurate ERP data in SAP and CRM.

You will handle sales/purchase contracts in SAP, liaise with clients, and follow up on orders, queries, and specific needs, while coordinating with logistics and administration for seamless document flow.

Qualifications

• Experience coordinating between departments and ensuring data consistency.
• Familiarity with SAP sales and purchase contracts is a plus.
• Experience updating and validating CRM records.

OBJECTIVES

Assist the Commercial department and assure all is properly coordinated between the different departments and reflected in the system.

A.DUTIES AND RESPONSIBILITIES

1. Commercial tasks. 95 %

• ? Introduce, review and validate the sales and purchase contracts in SAP based on the sales offers
• ? Liaise with clients and follow up on their orders, queries and specific needs.
• ? Follow up on credit lines
• ? Administration and follow-up of customers in the CRM .
• ? Introduction and follow up of new clients, address changes, pricing tables, credit lines(factor K) in SAP:
• ? Introduction, follow up and closing of the customers‘ orders (pedidos) in SAP
• ? Introduction of documentary instructions in SAP
• ? Raise and follow up of the necessary price corrections, discounts and volume rebates in SAP
• ? Raise pro-forma invoices upon request of the customers and for purposes of documentary credits.

2. Backup function for administration. 5 %

• ? Support in some generic office support (telephone, mails) together with other staff members

B. CONTACTS

Internal

• ? Daily interaction with the commercial staff and participate in all relevant department meetings.
• ? Regular coordination with the logistic department with regard to delivery and stock issues that may affect the customers.
• ? Regular coordination with the administration department in respect of documentary credits and follow-up of orders and shipments.

External

• ? Liaise with customers and agents.
• ? Co-ordination of export sales with the sales and logistic departments in Madrid, San Roque and Bécancour.
