Job summary

MindWave is recruiting an experienced SAP Training Coordinator in Belgium to drive the shERPa SAP S/4HANA adoption within NMBS. You will plan, coordinate, and monitor all training activities, ensuring readiness and end-user adoption across the organization.

Join a transparent, human-centric community with a hybrid setup (2-3 days in the office). You will collaborate with Business, IT, and Change Management, develop training materials, and report progress to the PMO.

Qualifications

• Minimum 10 years of professional experience in training coordination within SAP environments.
• Minimum 1 completed SAP S/4HANA training coordination assignment.
• Minimum 3 years coordinating training activities for programs with 500+ end users.
• Proven experience with business, IT and Change Management stakeholders.
• Professional proficiency in Dutch, French, and English.
• 2+ years using Microsoft Teams and SharePoint in project/training roles. Bachelor's degree or equivalent.

• Plan, coordinate, monitor, and report all SAP S/4HANA training activities.
• Develop training materials and ensure governance and Jira-tracked deliverables.

We are currently looking for an SAP Training Coordinator to join our community and support the shERPa Program, which is implementing SAP S/4HANA within NMBS. The program is currently in the System Integration Testing (SIT) phase. You will be responsible for planning, coordinating, organizing, monitoring, and reporting all training activities required to ensure successful adoption of SAP S/4HANA across the organization.

Key Responsibilities

1. Training Strategy & Needs Analysis

• Identify training needs together with Business Process Owners, Key Users, and business stakeholders.
• Perform training gap analyses, define training priorities, and support SAP S/4HANA user adoption.
• Define and monitor training KPIs and readiness indicators while aligning training planning with Change Management activities.

2. Training Development & Content Governance

• Coordinate the development of training materials and ensure compliance of training documentation, e-learning content, and SAP Enable Now content with NMBS standards.
• Coordinate reviews with Business and IT stakeholders, monitor training material quality and completeness, and track training deliverables through Jira.

3. Training Planning & Delivery

• Develop and maintain the integrated training plan aligned with project milestones and Go-Live planning.
• Coordinate Train-the-Trainer sessions, end-user training sessions, monitor attendance, completion rates, and certifications.
• Organize assessments, feedback collection mechanisms, and report training progress and readiness status to Program Management and PMO.

4. Training Logistics & Operational Coordination

• Coordinate training venues, virtual environments, required equipment, and ensure training environments are available and tested before sessions.
• Coordinate participant identification, training audience mapping, manage trainer availability, schedules, invitations, and communications.

5. Technical Training Support

• Coordinate with IT Infrastructure teams regarding training support and elevate technical issues affecting delivery.
• Validate SAP systems and demonstration environments before training sessions and support testing of user access rights and technical configurations.

6. Hypercare, Knowledge Transfer & Stakeholder Management

• Analyze training-related incidents and support requests, identify additional training needs during Hypercare, and coordinate supplementary training initiatives post Go-Live.
• Organize knowledge transfer towards the SAP Competence Center.
• Act as the central point of contact for training activities, communicate risks, progress, and readiness status, and support adoption campaigns across the program.

Team Context

You will work within the shERPa PMO and collaborate closely with the Change Management Team, IT Learning & Development, Business Process Owners, Key Users, SAP Functional Teams, NMBS IT, and IT Infrastructure Teams.

Conformity & Qualification Criteria

• Experience: Minimum 10 years of professional experience in training coordination, learning management, or training delivery management within SAP environments.
• S/4HANA Track Record: Minimum 1 completed assignment as Training Coordinator in an SAP S/4HANA implementation, migration, or transformation program.
• Scale: Minimum 3 years of experience coordinating training activities for SAP programs involving at least 500 end users.
• Stakeholder Alignment: Demonstrated experience working with Business, IT, and Change Management stakeholders in an SAP transformation environment.
• Language Proficiency: Professional proficiency in Dutch, French, and English.
• Tools & Education: Minimum 2 years of experience using Microsoft Teams and SharePoint in a project/training coordination role. Bachelor's degree or equivalent through professional experience.
• Location & Presence: Flexible hybrid setup ( 2-3 days/week in the office)

Key Technical Competencies & Evaluation Assets

• Experience with SAP Enable Now, SAP Companion, e-learning solutions, training governance, and learning platforms.
• Experience in large-scale ERP transformation programs involving more than 1,000 users.
• Experience coordinating Train-the-Trainer programs, Key User networks, and end-user readiness activities.
• Background in Change Management, training readiness reporting, and stakeholder communication initiatives.
