Description du poste

Ensure the end-to-end management of the payroll process and the operational management of all HR processes throughout the employee lifecycle, in order to guarantee accurate and timely compensation as well as an efficient, people-focused, compliant and high-quality HR service.

Act as the key point of reference for the payroll process, ensure data reliability and compliance with social and tax legislation, and actively contribute to the continuous improvement of HR processes, tools and services, in close collaboration with the experts and process owners of the People & Organisation team.

As an HR Payroll & Services Officer, your responsibilities will include:

  • Manage the end-to-end payroll process, including collecting, entering, checking and validating payroll variables, processing working hours, absences, leave, benefits, deductions and required declarations, in order to ensure accurate and timely compensation for employees.
  • Establish and maintain a constructive relationship with the external payroll provider and other providers related to payroll and employee benefits (meal vouchers, insurance providers, etc.), in order to ensure the quality, continuity and efficiency of their services.
  • Process employee information and documents throughout the entire employee lifecycle in accordance with established processes and deadlines (contracts, amendments, social documents, onboarding and offboarding, absences, sick leave, holidays, training, life and career events, etc.), in order to ensure reliable personnel administration and contribute to payroll preparation.
  • Provide ongoing HR support and act as a key operational point of contact for employees and managers, answering questions related to payroll, benefits, social legislation, internal policies and procedures, and providing first-line support for HR tools, in order to deliver an accessible, professional and people-focused service.
  • Enter, check and maintain employee records as well as HR and payroll systems and databases (Mpleo, Protime, eBlox, etc.) in accordance with the defined governance framework, in order to ensure the accuracy, confidentiality and quality of data, as well as compliance with legal, internal and ISO requirements.
  • Monitor developments in social and tax legislation, applicable rules and regulations, and implement the necessary changes in processes and systems to ensure continued compliance of payroll and personnel administration.
  • Coordinate HR administrative workflows between employees, managers, members of the People & Organisation team and external partners, in order to ensure deadlines are met, information flows smoothly and internal customers receive a high-quality service.
  • Define relevant KPIs for your area of responsibility and develop the necessary dashboards in collaboration with the Compensation & Benefits, Data & HRIS Expert, in order to monitor service quality and efficiency, identify anomalies and support operational and strategic decision-making.
  • Act as a key user for the tools within your area of responsibility, provide second-line support, document practices and manage the necessary adaptations to ensure effective use of the tools, business continuity and data quality.
  • Support the experts and process owners of the People & Organisation team in the operational and administrative implementation of their policies, processes and projects, contributing to consistent HR practices and the success of HR initiatives.
  • Analyse operational activities and pain points, and propose, document and implement improvements in collaboration with the relevant process owners, in order to continuously optimise processes, reduce the risk of errors and improve the employee and manager experience.
  • Lead projects relating to part of a process or a defined operational scope: identify and define optimisation opportunities, coordinate internal stakeholders and/or external service providers, monitor actions and deadlines, and support the adoption of new practices where required.
  • Keep up to date with developments in HR practices, the labour market and relevant tools in your field, in order to maintain and further develop your expertise and contribute to the continuous evolution of People & Organisation services.
