Curate Group in Brussels is seeking an experienced independent contractor to lead the launch and ongoing operational delivery of Lumos events across Belgium, combining remote project work with on-site delivery.

You will coordinate venues, suppliers and freelance teams, adapt Lumos processes to the Belgian market, and ensure delivery safety and quality for each show. This role requires independent work and travel to initial events.

Project: Belgian Event Operations & Expansion Support

Engagement: Independent Contractor (monthly retainer)

Location: Brussels based, with remote project work and on-site event delivery

One of our core event brands, Lumos Experiences, is one of the most distinctive live entertainment concepts, creating atmospheric candlelit musical concerts that transform unexpected spaces into something genuinely magical.

Following our growth across the UK, US and the Netherlands, we are preparing to expand Lumos into Belgium. We are looking for an experienced independent contractor to provide the local operational expertise, coordination and hands‑on delivery required to establish and scale the Belgian operation successfully.

THE ENGAGEMENT

The contractor will support the launch and operational delivery of Lumos events across Belgium.

The project will involve establishing the local operational infrastructure, coordinating venues and suppliers, supporting event teams and ensuring each show is delivered safely, consistently and to Lumos standards.

This engagement would suit an experienced event operations professional who understands the Belgian market, works confidently and independently, and enjoys building practical solutions from the ground up.

SCOPE OF SERVICES

• Belgian Market Launch: Develop and coordinate the operational launch plan for Belgium, identifying local requirements, dependencies, risks and priority actions.
• End-to-End Event Operations: Coordinate the operational delivery of Belgian events, from pre-show planning and venue liaison through to on-site execution and post-event review.
• Venue Operations: Gather and maintain venue information covering layouts, access, capacity, technical requirements, restrictions, contacts and operational considerations.
• Event Planning & Documentation: Prepare event management plans, operational schedules, venue briefs, risk assessments and other event documentation required for each production.
• Local Compliance: Research and coordinate relevant Belgian event requirements, including health and safety, permits, licensing, insurance and local operating considerations, escalating where specialist legal or regulatory advice is required.
• Supplier & Production Coordination: Identify and coordinate suitable local suppliers for areas such as sound, lighting, equipment, transport, storage, staging and event services.
• Event Team Support: Lead the sourcing, onboarding and briefing of freelance Event Managers and event crew, ensuring they understand Lumos processes and delivery expectations.
• Musician Coordination: Work with the Musician Booker and local artists to ensure musicians receive accurate event information and are prepared for each performance.
• Operational Systems: Adapt and implement Lumos operational processes, checklists, templates and playbooks for the Belgian market.
• Budget & Cost Control: Track agreed operational expenditure, obtain supplier quotations and recommend cost-effective solutions while protecting event quality.
• Equipment & Logistics: Coordinate the movement, storage, preparation and tracking of event equipment and inventory within Belgium.
• On-Site Launch Support: Attend an agreed number of initial events to oversee delivery, resolve operational issues and establish strong local processes.
• Quality Control: Review event setups and delivery standards across lighting, sound, staging, venue presentation and guest experience.
• Event-Day Escalation: Provide agreed event-day operational support for selected shows and act as a point of escalation for significant delivery issues.
• Reporting & Improvement: Provide regular project updates, post-event findings and practical recommendations to improve efficiency, quality and scalability.

WORKING ARRANGEMENT

• Independent contractor engagement provided through a monthly retainer.
• The engagement will combine remote project work with on‑site services at venues and other relevant locations in Belgium.
• The contractor will determine how the services are delivered, while meeting agreed objectives, deadlines, event requirements and quality standards.
• Specific deliverables, priorities and event attendance will be agreed in advance between the contractor and Lumos Experiences.
• Evening and weekend availability will be required for agreed events, launch periods and operational escalation support.
• The contractor will generally provide their own equipment and working arrangements unless otherwise agreed.
• The contractor will remain responsible for their own tax, insurance and other independent business obligations.
• Any travel or pre‑approved project expenses will be handled in accordance with the contractor agreement.

FEE

€3,500 per month, provided on an independent contractor basis.

IDEAL EXPERIENCE

We are looking for an established independent professional with experience delivering live events or operational expansion projects. They will ideally bring:

• Strong live-event operations or production experience
• Experience launching events, services or operations in new markets
• Knowledge of the Belgian events landscape and local operating requirements
• Experience coordinating venues, suppliers, artists and freelance event teams
• Confidence producing event plans, risk assessments and operational documentation
• Strong budgeting, logistics and inventory‑management skills
• The ability to work independently and manage multiple priorities
• Excellent written and spoken English
• Dutch and/or French language capability would be highly advantageous
• An existing professional network within the Belgian events industry would be beneficial
