Prothya Biosolutions Belgium is seeking a Facilities Coordinator to plan and coordinate facility works and services in a GMP environment. You will manage buildings, security, and maintenance, ensuring documentation is complete in SAP and that contractors are properly supervised.

• Maintain stock of office supplies and handle key management.

Purpose of the job

As a Facilities Coordinator, you are responsible for planning and coordinating the facility works and services in close cooperation with relevant stakeholders. The ultimate goal is to keep the Prothya Biosolutions BE buildings and surroundings in good condition and to ensure that employees can work in optimal conditions, within predetermined budgets and timing.

The position is performed in a GMP environment and must at least meet the quality and safety requirements and industry standards applicable by the official auditing bodies. This relates to production facilities, product safety, qualification of the contractors, procedures and documentation.

Key activity

Planning & organization:

• Managing the various buildings, parking zones, cafeteria and green environment.


• Ensuring daily follow-up of site security and facility services.


• Coordination of preventive maintenance tasks, pest control, work and adjustment where necessary.


• Ensuring timely orders for necessary materials.


• Ensure professional external representation and reputation of the company site.


• Managing technician or contractors.


• Discuss planning and priorities with the supervisor.


• Creating &reviewing work permits. Ensure complete, accurate and timely documentation in SAP.


• Filling in logbooks and documents.


• Report and, if necessary, correct deviations from documentation.

Follow-up of installations:

• Consult with system/area users so that preventive maintenance or repair can continue, taking into account the necessary resources (materials, people and duration).


• Analyzing maintenance/repair work and making proposals for improvement.


• Support Facilities technician in execution of maintenance and for more complex tasks

Performing supporting tasks:

• Contacts with tenants regarding technical problems.


• Monitor and follow up on the stock of office supplies.


• Key management


• Follow-up maintenance contracts and request quotes (cleaning, cafeteria, waste, reception etc.)

Coordinating the Shutdown activities of Facilities:

• Coordination of facility activities (maintenance, project, cleaning works) during the Shutdown.


• Drawing up a schedule of the activities during the Shutdown and organizing consultations

Standards & procedures:

• Drafting, updating and optimizing procedures and SOPs.


• Following house rules and complying with GMP guidelines, procedures and work instructions.

EHS compliancy:

• Exercising control (including compliance with the instructions).


• Determining the corrective measures and proposing preventive measures.


• Seek advice from the prevention and/or environmental service.


• Where applicable, wear/provide the necessary personal protective equipment (PPE) for the technicians/contractors.


• Handling incidents and near misses.


• You have a bachelor’s/Master degree or similar through experience.


• First experience in a clean room environment is a must.

You preferably have 5-8 years of work experience in a coordinating role in a technical environment.
