Jan De Nul Group seeks an administrative assistant for the Elia Substation project in Ghent. You will act as the administrative confidant of the site manager, handling on-site reception, document control, and coordination with site and project managers.

You bring an A2 diploma in administration, fluent Dutch and English, and a proactive approach. Availability from 7 a.m., valid B category driving license, and willingness to work 1–2 days a week in Bruges are expected.

Qualifications

  • A2 diploma in administrative field is required.
  • Fluent Dutch and English communication abilities.
  • First work experience is a plus, but not mandatory.

Responsabilités

  • Welcome employees on site and manage access badges.
  • Ensure subcontractors have proper documents and insurance.
  • Handle digital and physical filing of site documents and delivery notes.
  • Support invoicing processes and approval flows.
  • Order site and office equipment and ensure timely delivery.
  • Provide administrative support to site managers.

In Ghent you will be working on the Elia Substation project.Your RoleAdministrative confidant of the site managerFrom the site, you will manage the operation of this major construction project. You are responsible for the administrative and organisational support of the site team - think management, project and site managers.You will work closely with the site manager and therefore have a crucial role, because without your support, our employees and subcontractors on site cannot get to work.Your tasks:You welcome employees on site, make sure they have the necessary access badges and refer them to the right contacts.You ensure that subcontractors have the right documents and insurance to work on site.You take care of the digital and physical filing of site documents, delivery notes, concrete forms, etc.You follow up the invoicing administratively and manage the approval flow.You order site and office equipment and ensure it arrives on site on time.You provide various forms of administrative support to the site managers.You can learn “on the job” thanks to your close collaboration with the site manager and your frequent contact with other employees.What do you need to have?You have at least an A2 diploma in an administrative field.A first work experience is certainly a plus, as you will bear a lot of responsibility in a large project. But you can also convince us without work experience.Your clear communication style enables you to create order in an often complex working environment.You are given a lot of independence and use it to ensure that everything runs as smoothly as possible on site.You speak and write Dutch and English fluently.You are available to be on site from 7 a.m.You hold a valid driver's license cat.
