Job summary

FBG in Melbourne CBD is seeking a highly organised Wellbeing Coordinator to join our Client Operations team. You will coordinate wellbeing appointments, support client programs and provide operational support to our clinical team, acting as the first point of contact for clients to ensure timely, compassionate support.

This fast-paced role requires strong administration skills, attention to detail and the ability to build positive relationships with a broad range of stakeholders.

Qualifications

• Minimum 3 years' experience in an administration or coordination role.
• Excellent customer service and communication skills.
• Strong organisational skills and the ability to manage competing priorities.
• High emotional intelligence and empathetic communication.

Responsibilities

• Act as the first point of contact for clients and stakeholders
• Manage a high-volume inbox and the 1300 wellbeing line
• Coordinate new client referrals, onboarding and outreach activities
• Schedule individual and group wellbeing appointments
• Maintain accurate client records and reporting
• Support project coordination and program delivery activities
• Manage booking changes and clinician rescheduling requirements
• Provide contract administration support and process additional sessions
• Troubleshoot and elevate service-related queries
• Support continuous improvement initiatives across the team
