Job summary

Electro Optic Systems in Australia is seeking a Project Support Coordinator (Sustainment / Aftermarket) to assist the Project Manager and Sustainment team with administrative tasks, quotations, orders, inventory tracking, and reporting. This role ensures sustainment activities are delivered efficiently and on schedule.

You will coordinate with Engineering, Planning, Procurement, Production and Warehouse teams, maintain records, generate regular reports, and escalate risks to the Project Manager

Qualifications

• A minimum of 1–3 years in administration, project support, manufacturing, logistics, or a similar coordination role.
• Excellent organisational and time-management abilities.
• Clear written and verbal communication skills with high attention to detail.
• Proficiency in Microsoft Office (Outlook, Teams, Excel) and basic ERP familiarity.
• Ability to work with multiple stakeholders and manage competing priorities.
• Willingness to learn engineering documents, BOMs, and sustainment processes.

Responsibilities

• Support the Project Manager with day-to-day sustainment and aftermarket activities.
• Maintain project schedules, action registers, records, and documentation.
• Process customer quotation requests and track them through review and approval workflows.
• Monitor customer orders and provide updates on order status, lead times, and deliveries.
• Coordinate with Engineering, Planning, Procurement, Production, and Warehouse teams to support project requirements.
• Assist with inventory tracking, stock transfers, and shipment activities.
• Follow up on engineering documentation and part release status as required.
• Maintain accurate project, customer, and inventory information within business systems.
• Prepare routine reports on quotations, orders, inventory, and delivery performance.
• Escalate potential risks, delays, or issues to the Project Manager.
