Job summary

Bibliotheca Australia Pty Ltd is seeking a skilled Bid Writer in Clayton, VIC to develop, coordinate, and deliver high-quality responses to RFPs, RFQs, tenders, and other procurement opportunities. You will collaborate with Sales, Marketing, Product Management, Operations, and Customer Success to create compelling, compliant proposals.

Qualifications

• Bachelor's degree or equivalent experience in communications, marketing, English, or related field.
• Minimum 4 years of experience in proposal writing or related roles.
• Experience developing responses to RFPs, RFQs, tenders, or procurement documents.
• Advanced proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Acrobat.
• Experience with Loopio, RFPIO, Qvidian, or similar proposal platforms.
• Experience using CRM and business systems such as HubSpot, Salesforce, NetSuite.
• Exceptional written communication and storytelling abilities.
• Ability to translate technical information into persuasive business content.
• Strong organizational and project management skills.

Responsibilities

• Write, edit, and manage persuasive responses for RFPs, RFQs, tenders, bids, and procurement requests.
• Coordinate proposal development across Sales, Product Management, Marketing, Technical Services, Operations, and other stakeholders.
• Develop proposal strategies, outlines, timelines, and content plans.
• Manage proposal schedules, milestones, deadlines, and ensure compliance.
• Review bid requirements to meet technical, commercial, legal, and formatting requirements.
• Assemble, finalize, quality-check, and submit documents through portals or channels.
• Develop pricing schedules and coordinate information for tender submissions.
• Maintain and improve proposal templates, bid libraries, and reusable content.
• Research customer needs, industry trends, and competitor solutions.
• Translate technical product information into clear, customer-focused content.
