Job summary

Northeast TruckCentre on the Sunshine Coast seeks a highly organised Sales Administration & Stock Controller to join our team. You will coordinate vehicle stock, handle sales administration, maintain accurate records, and ensure a superb customer experience from order through delivery.

Reporting to the Sales Manager, the role focuses on smooth vehicle sales admin, stock control, timely customer deliveries, and robust reporting.

Qualifications

• Strong organisation and accuracy with the ability to manage multiple tasks at once.
• Experience with sales administration and stock control processes is advantageous.
• Customer-focused approach with attention to detail and record keeping.

Responsibilities

• Process factory claims, pricing and warranty start dates, invoices and related claims.
• Manage dealer invoices, sales deals, reporting and commission payments.
• Prepare sales reports, forecasts and finance audit support; update customer payments in the DMS.
• Raise purchase orders and assist with general admin tasks.
• Coordinate vehicle orders, arrivals, allocations and transports; monitor stock movements in the DMS.
• Communicate stock availability and delays to the Sales Team; assist with documentation and registration as needed.

KeyResponsibilities:

• Enter factory invoices and manage related claims
• Process sales deals for reporting and commission payments
• Prepare sales reports, forecasts, and finance audit support
• Update customer payments in the Dealer Management System (DMS)
• Raise purchase orders and assist with general admin tasks

Stock Control

• Manage vehicle arrivals and administration
• Coordinate vehicle orders, allocations, and transport
• Monitor and update stock movements in the DMS
• Liaise with external stakeholders
• Communicate stock availability, delays, or issues to the Sales Team
• Assist with factory reporting and vehicle documentation
• Support registration, reporting, and reception cover when required
