Job summary

Summit Open Space Services is seeking an experienced Senior Workshop Coordinator/Manager to keep a busy fleet and workshop running smoothly at our St Marys depot.

You will coordinate servicing and maintenance across a diverse fleet, allocate work to eight full-time mechanics, and maintain accurate records to support efficient operations.

Qualifications

• Experience coordinating workshop, fleet or mechanical maintenance environments.
• Coordination of servicing and maintenance for vehicles, plant or equipment.
• Strong administrative and record-keeping skills.
• Excellent organisational and prioritisation abilities.
• Proficient in computer-based maintenance or fleet systems.
• Current driver's license.

Responsibilities

• Coordinate scheduled servicing, maintenance and repairs across fleet, plant and equipment.
• Allocate and prioritise work for mechanics based on requirements.
• Coordinate vehicle and equipment bookings into the workshop.
• Source and order parts required for servicing and repairs.
• Monitor outstanding maintenance and follow through to completion.
• Maintain service, maintenance and repair records.
• Upload service documentation into systems.
• Coordinate inspections and testing of plant and equipment.
• Monitor upcoming servicing to keep equipment compliant and operational.
• Liaise with managers, supervisors, mechanics and suppliers on fleet availability.
• Support preventative maintenance planning to minimise downtime.

Are you an experienced Workshop Manager or Coordinator who knows how to keep a busy fleet and workshop running smoothly?

Summit Open Space Services is looking for an experienced and organised Senior Workshop Coordinator/ Manager to join our team at our St Marys depot.

You’ll play a key role in coordinating servicing and maintenance activities, allocating work to our team of 8 full-time mechanics, organising parts and ensuring fleet and equipment records are accurate and up to date.

Our workshop supports a diverse operational fleet including Utes, Elevated Work Platforms, Chippers, Trucks, Mowers, Material Handlers and Excavators.

Duties

As our Workshop Coordinator, you will be responsible for keeping workshop activities organised and moving, including:

• Coordinating scheduled servicing, maintenance and repairs across fleet, plant and equipment
• Allocating and prioritising work for mechanics based on operational requirements
• Coordinating vehicle and equipment bookings into the workshop
• Ordering, sourcing and coordinating parts required for servicing and repairs
• Monitoring outstanding maintenance and following up works through to completion
• Maintaining accurate service, maintenance and repair records
• Uploading and entering service documentation into relevant systems
• Coordinating required inspections and testing of plant and equipment
• Monitoring upcoming servicing and testing requirements to help ensure equipment remains compliant and operational
• Liaising with managers, supervisors, mechanics and suppliers regarding fleet availability and maintenance requirements
• Supporting preventative maintenance planning and helping minimise equipment downtime

The focus on maintenance records, preventative maintenance and fleet planning complements the responsibilities already expected within Summit’s workshop.

About You

We’re looking for someone who has previous experience coordinating a workshop, fleet or mechanical maintenance environment and understands what it takes to keep equipment moving.

You will ideally have:

• Previous experience in a Workshop Coordinator, Fleet Coordinator, Service Coordinator or similar role
• Experience coordinating servicing and maintenance of vehicles, plant or equipment
• Good working knowledge of workshop operations and mechanical terminology
• Experience allocating and coordinating work for mechanics or technicians
• Experience coordinating parts, suppliers and external service providers
• Strong administrative and record-keeping skills
• Excellent organisational skills with the ability to manage competing priorities
• Strong communication and follow-up skills
• Confidence using computer-based maintenance, fleet or administrative systems
• A current driver's licence

Mechanical or trade experience would be highly regarded, but the key requirement is strong workshop coordination experience and an understanding of fleet maintenance operations.
