Job summary

Qscan Group is hiring a Senior Receptionist to join the Parkwood clinic leadership team on a full-time, permanent basis. This senior role supports the Practice Manager, leads the clerical team, and ensures high-quality patient care.

You will manage patient registrations, bookings, billing, and data entry across multiple systems, while mentoring staff and promoting exceptional service standards.

Qualifications

• Experience in a medical reception or healthcare administration role.
• Experience with radiology environment and Karisma.
• Previous leadership or senior reception experience.
• Good understanding of Medicare payments.
• Strong interpersonal skills and ability to guide team members.
• Professional, approachable and committed to exceptional patient experience.

Responsibilities

• Act as the first point of contact for patients, managing registrations, bookings, triage and enquiries.
• Process payments, issue receipts, and manage billing and invoicing with accuracy.
• Use booking systems to ensure smooth clinic operations.
• Support administrative functions including data entry, outbound calls, and reporting.
• Provide leadership support to the Practice Manager and coordinate workflows.
• Act as a senior resource for the clerical team, supporting onboarding and training.
• Lead by example to uphold high standards of customer service and patient care.

About The Opportunity

We are seeking an experienced Senior Receptionist to join our Parkwood clinic Leadership Team on a full-time, permanent basis.

This is a senior-level position suited to a confident and capable medical receptionist who brings strong operational knowledge, leadership experience, and a genuine passion for supporting both patients and team members. You will play a key role in the day-to-day running of the clinic while supporting the Practice Manager and contributing to the development of our clerical team.

In This Role, You Will

• Act as the first point of contact for patients, managing face-to-face and telephone registrations, bookings, triage, and general enquiries
• Process payments, issue receipts, and manage billing and invoicing activities with accuracy and professionalism
• Use our booking systems efficiently to ensure smooth clinic operations
• Support administrative functions including outbound calls, data entry, and reporting
• Provide leadership support to the Practice Manager, assisting with workflow coordination and team guidance
• Act as a senior resource for the clerical team, supporting onboarding, training, and day-to-day development
• Lead by example, promoting high standards of customer service, professionalism, and patient care

About You

Along with a genuine passion for delivering outstanding customer service, you will bring:

• Demonstrated experience in a medical reception or healthcare administration role.
• Experience with radiology environment and Karisma (highly regarded)
• Previous leadership or senior reception experience (highly regarded)
• A great understanding of Medicare payments (highly regarded)
• Strong interpersonal skills and confidence supporting and guiding team members
• A positive and collaborative leadership style, with a genuine interest in supporting and developing others. Professional, approachable and committed to delivering an exceptional patient experience.
