Job summary

FinXL Professional Services is seeking a Senior Project Administrator to support a 6+ month telco engagement in Macquarie Park. This role provides critical governance and delivery coordination across remediation streams, acting as an autonomous operational anchor for project managers and senior leaders.

You will maintain data integrity, manage Jira boards, produce executive-ready insights, and contribute to long-term programs.

Qualifications

• Proven track record providing high-level project administration and governance support within complex enterprise environments.
• Experience with Agile and Waterfall delivery frameworks.
• Advanced proficiency in Jira, Confluence, Microsoft Office, and reporting tools such as Power BI.
• Strong spreadsheet capability, including data reconciliation, pivot tables, queries, macros, and dashboard design.
• Excellent stakeholder communication skills, with demonstrated confidence liaising with senior leadership, compliance, and legal teams.
• Strong analytical and problem-solving mindset, capable of interpreting large operational datasets into actionable insights.
• Solid understanding of financial control support, such as cost tracking, purchase orders, goods receipts, and vendor invoice verification.

Responsibilities

• Oversee and update project tracking mechanisms to ensure comprehensive visibility over milestones, expenditure, RAID items, and delivery requirements.
• Coordinate governance forums and steering meetings, taking ownership of agenda planning, executive pack compilation, and action item follow-up.
• Administer and optimise Jira boards across operational teams to monitor delivery commitments, flag discrepancies, and elevate project blockers.
• Generate and distribute high-quality operational dashboards and executive status reports for senior program leadership.
• Drive process automation and reporting enhancements by leveraging advanced spreadsheets, queries, macros, and modern visualization techniques.
• Establish standardised templates, fit-for-purpose master trackers, and self-service reporting tools to continuously improve data consistency.
• Collaborate with project managers, legal, compliance, and delivery leads to coordinate cross-functional inputs and maintain governance alignment.
