Job summary

FinXL Professional Services Pty is seeking an experienced Project Administrator to join our Business Transformation practice. You will be deployed with a leading Telecommunications client on a high-profile remediation project, delivering governance, reporting, and coordination across delivery streams.

The role requires strong Jira/Confluence skills, advanced Excel, and the ability to work with senior stakeholders.

Qualifications

• Experience as a Project Administrator or Project Coordinator within complex enterprise programmes.
• Strong understanding of Agile and Waterfall delivery methodologies, project controls, and governance frameworks.
• Advanced proficiency across Jira, Confluence, Microsoft Office, and Excel (pivot tables, queries, macros, and reconciliations).
• Experience with reporting and data visualization tools (e.g. Power BI) to produce actionable insights and executive dashboards.
• Exceptional organisational, communication, and documentation skills with high attention to detail.
• Demonstrated ability to engage, influence, and coordinate across cross-functional teams and senior stakeholders.

Responsibilities

• Maintain project tracking tools providing visibility over deliverables, expenditure, risks, and actions while ensuring data quality.
• Coordinate regular governance forums and project meetings, including scheduling, meeting pack preparation, minute taking, and action tracking.
• Prepare, maintain, and distribute operational and executive-level programme reporting and dashboards.
• Manage Jira boards across remediation delivery streams, tracking commitments and escalating risks, dependencies, or anomalies.
• Enhance reporting efficiency and data accuracy using Excel macros, queries, pivot tables, data visualisation, and AI tools.
• Drive standardised templates and fit-for-purpose master trackers to streamline stakeholder self-service and information flow.
• Support Delivery Managers and senior stream leaders with delivery coordination, governance controls, and autonomous issue escalation.
