Job summary

FinXL IT Professional Services in Sydney is seeking an experienced Project Administrator to support a high-profile remediation programme for a major Telecommunications client. You will deliver structured governance, deliverable tracking, meeting packs, minute taking, and data integrity across multiple workstreams.

The role requires strong knowledge of Agile and Waterfall methodologies, and proficiency with Jira, Confluence, Excel (macros), and Power BI to produce executive dashboards.

Qualifications

• Proven experience delivering governance and reporting in large-scale enterprise programmes.
• Strong ability to coordinate cross-functional teams and maintain data integrity.
• Hands-on with project controls, deliverable tracking, and risk escalation.
• Comfort with both Agile and Waterfall delivery frameworks.

Responsibilities

• Maintain project tracking tools providing visibility over deliverables, expenditure, risks, and actions while ensuring data quality.
• Coordinate regular governance forums and project meetings, including scheduling, meeting pack preparation, minute taking, and action tracking.
• Prepare, maintain, and distribute operational and executive-level programme reporting and dashboards.
• Manage Jira boards across remediation delivery streams, tracking commitments and escalating risks, dependencies, or anomalies.
• Enhance reporting efficiency and data accuracy using Excel macros, queries, pivot tables, data visualisation, and AI tools.
• Drive standardised templates and fit-for-purpose master trackers to streamline stakeholder self-service and information flow.
• Support Delivery Managers and senior stream leaders with delivery coordination, governance controls, and autonomous issue escalation.
