Job summary

Tradepro Installation Services is seeking a scheduling and coordination specialist to turn sales into live projects across QLD and NSW. You’ll own the week-by-week start plan, align trades, and keep customers and site supervisors informed to hit starts and cash flow targets.

The role emphasizes high-volume, time-critical coordination, strong Excel skills, proficiency with Buildertrend, and clear communication with customers, technicians, and internal teams.

Qualifications

• Scheduling/project coordination experience required.
• Contractor/subcontractor coordination experience preferred.
• Experience with Buildertrend highly regarded.
• Strong Excel and Microsoft 365 skills required.
• Attention to detail and accuracy essential.
• Ability to prioritise competing demands.
• Excellent organisation and written/phone communication.
• Willingness to obtain a police check.

Responsibilities

• Convert sales leads into active jobs and lock start dates to hit weekly targets.
• Run the long-term schedule for employee trades and subcontractors.
• Coordinate appointments via inbound/outbound calls and verify details.
• Communicate clearly with customers, technicians and internal teams.
• Track ETAs, adjust starts, and manage delays with stakeholders.
• Lead daily progress huddles with Site Supervisors and re-sequence work as needed.
• Book subcontractors, issue POs, and align trades for starts and revisits.
• Manage deposits, contracts, invoices and trade payments with accounts.
• Close completed jobs in Buildertrend after sign-offs.

About the role

You’ll own the schedule that turns sold work into started and finished jobs across QLD and NSW. That means converting sales into live projects, packing the week with the right trades, chasing completions and revisits, and keeping customers and site supers aligned - so we hit weekly start value and cash flow without chaos.

What you’ll do

• Work effectively in a high-volume, time-critical environment where priorities shift through the day
• Convert sales leads into active jobs and lock start dates to hit weekly start targets
• Run the long-term schedule for employee trades and subcontractors
• Handle inbound and outbound calls to confirm and manage appointments
• Communicate clearly and professionally with customers, technicians, and internal teams
• Track product ETAs, adjust starts, and keep stakeholders across delays
• Run daily progress huddles with Site Supervisors and re-sequence work when sites slip
• Book subcontractors, get POs issued/accepted, and align trades for starts and revisits
• Own customer contact from welcome call and deposit through updates on delays/warranty
• Work with accounts on deposits, contracts, invoices and trade payments
• Close completed jobs in Buildertrend once balances, trade pay & defect-free sign-off are done
• Track warranty, defects and long-running jobs to resolution
• Report weekly on starts, completions, revisits, RFT vs revisit rate, and baseline vs actual

What you’ll need

• Scheduling and/or project coordination experience
• Contractor / subcontractor coordination experience (office based)
• Scheduling software experience (Buildertrend highly regarded)
• Solid Excel and Microsoft 365
• Excellent attention to detail and accuracy
• The ability to prioritise competing demands
• Strong organisation and clear written and phone communication
• A team-first mindset and strong sense of accountability
• Willingness to obtain a police check
