Job summary

Virtu, an Australian IT solutions provider based in Sydney, is seeking a Sales Operations Coordinator to manage order processing, inventory control, and logistics in-office five days a week. The role centers on converting orders to supplier POs, organizing stock, coordinating 3PLs, and sourcing from major distributors to meet client timelines.

Qualifications

• Follow-through to close loops and chase non-responding suppliers.
• Sharp attention to detail to ensure correct SKU and delivery addresses.
• Clear, quick written communication with clients, suppliers and colleagues.
• Hands-on: packing/shipping orders and moving stock (up to 10 kg).
• Comfortable working in ERP, CRM and Microsoft 365 systems.

Responsibilities

• Process orders and convert accepted orders to supplier purchase orders daily (≈250/month).
• Own Alexandria storeroom: receive/label stock, conduct stocktakes, maintain stock register in VMS.
• Coordinate stock with 3PL partners, manage arrivals, on-hand, and shipping paperwork.
• Source stock through core distributors (Ingram Micro, Dicker Data, Synnex) and alternative suppliers as needed.
• Track ETAs, follow up suppliers, and update clients on delayed orders with next actions/dates.
• Arrange freight and deliveries, handle client-specific delivery requirements, and resolve damaged/missing items.
• Handle post-sale issues: returns, RMAs, warranty claims, and licensing delivery.
• Start each day by addressing exceptions and prioritizing recovering items.
• Nice to have: 1+ years in order processing/logistics; IT reseller/MSP/distributor experience; 3PL/freight/export paperwork; distributor portals or vendor programs; Apple DEP or software licensing delivery.
