Job summary

Hugo Personnel Pty is seeking an experienced Recruitment Administrator/Coordinator in Melbourne to support a busy Talent Acquisition function in a not-for-profit organisation.

You will manage onboarding, contracts, job postings, and recruitment coordination, delivering timely HR support across Victoria. The role offers a four-day work-from-home arrangement with one day in the office (Wednesday), mentoring, and a collaborative team culture.

Qualifications

  • Proven experience in an Internal Recruitment Coordinator role or HR Administrator role.
  • Strong understanding of employment legislation and Award/Agreement interpretation.
  • WWCC and Police Check required for the role.
  • Excellent stakeholder engagement and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.

Responsibilities

  • Provide administrative and operational support across HR and recruitment.
  • Assist end-to-end recruitment including screening, shortlisting, compliance and references.
  • Coordinate job advertising across multiple platforms and ensure posting accuracy.
  • Maintain recruitment records and onboarding documentation.
  • Complete regular reporting to support industrial agreement implementation and compliance.

The Role

Reporting to the Talent Acquisition Specialist, you will be responsible for providing administrative and operational support across a broad range of HR and recruitment matters.

Additionally, you will:

  • Process employee documentation including contracts, onboarding, position descriptions, and database maintenance
  • Respond to and resolve HR Helpdesk tickets within agreed timeframes.
  • Assist hiring managers with end to end recruitment and staff coordination - phone screening, shortlisting, compliance and reference checks
  • Coordinate job advertising across multiple recruitment platforms and ensure posting accuracy.
  • Maintain the administration and maintenance of recruitment records, employee documentation and associated approval processes.
  • Complete regular reporting to support industrial agreement implementation
  • Build strong relationships with hiring managers to identify workforce needs and provide advice on hiring strategies and compliance requirements
  • Contribute to continuous improvement across HR quality, workforce operations and compliance frameworks
What will I need to succeed?
  • Proven experience in a Internal Recruitment Coordinator role or HR Administrator role
  • Strong understanding of employment legislation and Award/Agreement interpretation
  • Proven experience with systems including Dayforce (desirable)
  • WWCC and Police Check required for the role
  • Excellent stakeholder engagement and interpersonal skills
  • Ability to handle sensitive and confidential information with discretion
  • A positive, proactive self-starter with a “can do” attitude
