About the role

An exciting opportunity is available for a friendly, organised and proactive Receptionist / Office Administrator to be the welcoming face of a corporate office in the Melbourne CBD.

As the first point of contact for employees, visitors, contractors and service providers, you will set the tone for a professional and welcoming workplace. You will manage the front desk and keep the office running smoothly each day.

Working closely with teams across the business, you will provide a broad range of reception, administrative and office support. This includes greeting visitors, managing phones and mail, coordinating meeting rooms and office supplies, and helping with new starter setup and day-to-day office requests.

This is a varied, hands-on role suited to someone who enjoys working with people, takes pride in a well-run office and is committed to delivering great service.

This is an office-based role, required on site 5 days a week. A part-time arrangement of 4 days a week will also be considered.
About the role:
  • Manage the front desk, warmly greeting and signing in visitors, contractors and guests.
  • Answer and direct phone calls, manage the general inbox and respond to enquiries promptly and professionally.
  • Handle incoming and outgoing mail, couriers and deliveries.
  • Manage meeting room bookings and set up rooms for meetings, catering and visitors.
  • Keep the reception, kitchen and common areas tidy, presentable and well stocked.
  • Order and maintain office supplies, stationery and kitchen consumables.
  • Coordinate company vehicle bookings and liaise with building management, suppliers and service providers.
  • Help set up new starters and departing staff, including desks, building access passes, equipment and basic IT needs.
  • Act as the first point of contact for day-to-day IT issues and log requests with the IT provider.
  • Support workplace health, safety and security tasks, such as visitor registers, first aid and emergency contact lists.
  • Provide general administrative support to the team, including data entry, document preparation, filing and invoice processing.
  • Help organise team lunches, events and activities that build a positive workplace culture.
To be successful, you will bring:
  • Previous experience in a Receptionist, Office Administrator, Office Assistant or similar front-of-house role, ideally in a busy corporate office.
  • A warm, professional and approachable manner, with excellent customer service skills.
  • Clear and confident communication skills, both on the phone and in person.
  • Strong organisational and time management skills, with the ability to juggle multiple tasks and priorities.
  • Strong attention to detail and a commitment to accuracy.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel and PowerPoint. SharePoint experience is a plus.
  • A proactive, can-do attitude and the initiative to fix problems before they escape.
  • A reliable team player who works well with people across the business.
  • A genuine interest in creating a welcoming and well-run workplace.
