Job description

Would you like to run the administration behind projects you can drive past and point at, for one of the Sunshine Coast's established plumbing, gas and civil contractors?

  • Sunshine Coast, Queensland
  • Long-established, growing local business across commercial plumbing, residential, maintenance, gas and civil
  • Real ownership of your work, with the systems and support to do it properly

The role is Projects Administrator, supporting our Commercial Plumbing, Residential and Civil project teams, reporting to our Office Manager.

YOU:

People describe you as structured, methodical and hard to rattle. You are the person who knows where the document is, which claim is due and which variation has not been signed off — and you knew it before anyone had to ask.

You like having several projects running at once, because you have a system for keeping them straight. Deadlines do not worry you; you work backwards from them. When a number does not look right you check it rather than pass it on. Spreadsheets are a tool you are genuinely comfortable with, not something you put up with.

You take ownership. You make the decisions that sit inside your responsibilities, and you have good judgement about when something needs to go up the line. You follow a task through to the end, and if something is going to be late you say so early rather than hope nobody notices.

This role carries real detail and real accountability. Progress claims, variations, compliance documentation and close-outs all have to be right, and close enough is not close enough. If that reads as pressure rather than satisfaction, this is not the role for you. If it reads like the job you have been waiting for someone to let you do properly, we would like to hear from you.

THE ROLE:

You will own the administration that keeps our projects moving, across commercial plumbing, residential and civil.

Project administration
  • Project setup, administration and document control
  • Project scheduling and coordination support
  • Project reporting and close-out documentation
Commercial and procurement
  • Procurement administration and purchase order management
  • Progress claim preparation and tracking
  • Variation registers and follow-ups
Compliance and relationships
  • QA, ITP and compliance documentation
  • Liaising with builders, subcontractors, suppliers and internal project teams
CAREER PATHWAY OPPORTUNITIES:
  • Contracts Administration
HERE'S WHAT QUALITIES ARE REQUIRED ...
  • Highly organised — strong time management and the ability to prioritise competing tasks and deadlines
  • Accountable and proactive — takes ownership of responsibilities, follows tasks through to completion and works independently
  • Decisive — confident making decisions within your responsibilities, with sound judgement on when to upscale
  • Reliable and consistent — dependable, punctual and committed to delivering work to a high standard
  • Discreet and professional — maintains confidentiality, demonstrates integrity and contributes to a respectful, professional workplace
  • Can-do attitude — positive, adaptable and solutions-focused, willing to assist wherever required
  • Strong communicator — clear, confident and professional with customers, suppliers, tradespeople and management
  • Attention to detail — accurate and thorough with documentation, data entry, invoicing and record keeping
  • Problem-solving ability — identifies issues early, takes initiative and seeks practical solutions
  • Systems proficiency — confident with Microsoft Office and capable of learning new business management software
  • Commercial awareness — understands operational efficiency, cost control, timely invoicing and accurate administration
  • Team-oriented — works collaboratively, accepts feedback and contributes to continuous improvement
  • Strong numerical skills — genuine confidence working with spreadsheets and checking figures that do not look right

A current driver's licence

Advantageous, but not essential
  • Experience in construction or project administration
  • Exposure to progress claims, variations, ITPs or QA documentation
  • Experience with job management software (SimPro, Procore or similar)

We would rather hire the right person and teach them our industry than hire someone who knows the industry but is not the right fit. If you have the attitude and the organisational ability, we will teach you the rest.

WHY JOIN OUR TEAM?

This is a long-term opportunity, not a stopgap. We are establishing two dedicated administration positions reporting to our Office Manager, in a team we are deliberately building — with clear accountability, proper support and genuine room to develop.

You will be given the outcome and the deadline, and real freedom in how you deliver it. We will invest in your training, cross-train you across the wider business so the work stays interesting, and back you to grow as the group grows. We want the people behind the scenes supported just as well as the people on the tools.

THE BUSINESS:

Peak Group (www.peakpcg.com.au) is a Sunshine Coast business delivering commercial plumbing, residential plumbing, maintenance, gas and civil construction. We have grown steadily on the back of quality workmanship and doing what we say we will do, and our people work to one simple standard: Peak quality, service and safety. We are investing in our administration team because the business has grown and we want it run properly.
