Greer Plumbing in South East Queensland is seeking a hands-on Office Administrator to support the office and field teams across Queensland and NSW. You will schedule jobs, manage compliance documents, and liaise with clients while working closely with leadership to keep operations running smoothly.
The role requires at least 3 years in an admin/ops role, experience with Tradify and Xero, and strong organisational and communication skills.
This is a hands-on, fast-paced role at the heart of the business. You will be the go-to person for everything that keeps the office and field team running smoothly, from job scheduling and compliance documentation to client liaison and leadership support. You will work closely with the Managing Director and Director of Business Operations across Queensland and NSW every day and your ability to stay organised, communicate clearly and back yourself to make decisions will be what sets you apart. Scheduling and coordinating jobs for the plumbing team, managing priorities and timelines
Preparing job folders including plans, council approvals and all relevant documentation
Submitting and following up on council applications and permits
Liaising daily with clients, builders and suppliers to keep jobs on track
Managing the Greer Plumbing email inbox and ensuring timely responses to all correspondence
Sending daily email updates to the directors with outstanding actions, upcoming deadlines and key reminders
Following up outstanding quotes and invoices and escalating overdue amounts to the directors
Managing accounts payable and accounts receivable, including note taking and tracking
Entering invoices into Tradify and Xero, coding correctly for GST and non-GST and matching to the applicable system
Tracking billable hours per job, identifying what time is billable to a client project versus internal office time
Minimum 3 years of experience in an office administration or operations role
Confident using job management software such as Tradify or similar
Experience with Xero or similar accounting software
Strong organisational skills with the ability to juggle multiple priorities without dropping the ball
Clear and confident communicator with clients, suppliers and a team of tradies
Someone who can back themselves and make decisions without needing to be told what to do every step of the way
