Job summary

FGI Developments is seeking a diligent Project Administrator to support regional Queensland construction projects. You will manage documentation, schedules and correspondence, coordinating with clients, contractors and internal teams to keep projects on track.

The role requires strong organisational skills, attention to detail and the ability to handle confidential information in a fast-paced environment. Occasional site travel may be required; a professional, collaborative approach is essential.

Qualifications

  • Experience as a Project Administrator or similar in construction/project management.
  • Strong organisational and time management to manage multiple tasks.
  • Excellent written and verbal communication with diverse stakeholders.
  • Proficiency with Microsoft Office; familiar with project management tools.
  • Professional approach to confidentiality and data management.

Responsibilities

  • Coordinating project documentation: contracts, drawings, specs and schedules; ensure records are accessible.
  • Preparing and distributing project correspondence to stakeholders (letters, emails, meeting minutes, progress reports).
  • Managing project filing systems (physical and digital) for compliance.
  • Scheduling and coordinating meetings: site, progress and stakeholder meetings; prepare agendas and minutes.
  • Supporting procurement: assist with quotations, purchase orders and supplier communications.
  • Maintaining project budgets and financial records; track expenses and cost reporting.
  • Liaising with clients, contractors, consultants and internal teams for progress.
  • Assisting with site admin: safety docs, permits and regulatory compliance.
  • Preparing project reports and presentations for managers and stakeholders.
  • Managing general office duties and supporting the wider project team.

Job description

Key responsibilities

Coordinating project documentation, including contracts, drawings, specifications and schedules, ensuring all records are properly maintained and easily accessible

Preparing and distributing project correspondence, including letters, emails, meeting minutes and progress reports to relevant stakeholders

Managing project filing systems, both physical and digital, to maintain organisation and ensure compliance with company standards

Scheduling and coordinating project meetings, including site meetings, progress meetings and stakeholder meetings, and preparing agendas and minutes

Supporting the procurement process by assisting with quotations, purchase orders and supplier communications

Maintaining project budgets and financial records, including expense tracking and cost reporting

Liaising with clients, contractors, consultants and internal teams to facilitate effective communication and project progress

Assisting with site administrative requirements, including safety documentation, permits and regulatory compliance

Preparing project reports and presentations to support project managers and stakeholders in decision-making

Managing general office duties and supporting the wider project team as required

What we’re looking for

Proven experience as a Project Administrator or similar administrative role within the construction or project management industry

Strong organisational and time management skills, with the ability to manage multiple tasks and priorities simultaneously

Excellent written and verbal communication skills, with the ability to communicate effectively with diverse stakeholders

Proficiency with Microsoft Office applications, particularly Project, Word, Excel and Outlook

Familiarity with project management software and tools, or a willingness to learn industry-standard systems

Attention to detail and accuracy, particularly when managing documentation and financial records

A professional approach to confidentiality and data management

Ability to work independently and as part of a collaborative team environment

Knowledge of construction terminology and processes is advantageous

Current driver’s licence and willingness to travel to project sites as required
