Vertu Equipment Victoria Pty Limited in Dandenong South is seeking a proactive Pre-Delivery & Warranty Coordinator to join our Service team on a part-time basis.

You will coordinate machine pre-delivery, manage warranty documentation, work with Sales, Service, Parts and SANY, and ensure on-time delivery while pursuing warranty recovery.

Qualifications

• Minimum 2 years warranty administration experience, preferably in heavy equipment, truck, agricultural or automotive dealership environments.
• Experience preparing and submitting OEM warranty claims.
• Experience raising purchase orders and dealing with suppliers and freight providers.

Responsibilities

• Coordinate pre-delivery activities for new machines sold.
• Open and maintain pre-delivery job cards.
• Track machines from order through shipping, port clearance, and arrival.
• Coordinate inbound and outbound freight and transport.
• Inspect incoming machines and report transport damage.
• Raise purchase orders for attachments and fit-out items.
• Follow up suppliers and monitor lead times.
• Coordinate pre-delivery inspections and fit-out with the Service team.
• Keep Sales updated on machine progress and delivery dates.
• Check pre-delivery documentation, photos, machine hours and sign-off prior to release.

Vertu Equipment is seeking an organised and proactive Pre-Delivery & Warranty Coordinator to join our Service team in Dandenong South.

This is a newly created, part-time position with responsibility for coordinating machine pre-delivery activities and managing warranty administration across our SANY equipment range.

Working closely with Sales, Service, Parts, suppliers and SANY, you will help ensure machines are prepared and delivered on time while making sure warranty claims are properly documented, submitted, followed up and recovered.

Aftersales is a key part of Vertu Equipment’s growth strategy, and the Pre-Delivery & Warranty Coordinator will play an important role in supporting our customers, improving delivery outcomes and ensuring warranty claims are managed efficiently across the business.

About the role

You will coordinate machines from order through to customer handover, including tracking incoming equipment, organising freight, arranging attachments and fit-out requirements, monitoring pre-delivery progress and preparing handover documentation. You will also take ownership of warranty administration across the business, ensuring claims are supported by the correct evidence, submitted within required timeframes and followed through to payment. The role is based at our Dandenong South facility and also provides support to our Lara site.

Key responsibilities

• Coordinating pre-delivery activities for new machines sold
• Opening and maintaining pre-delivery job cards
• Tracking machines from SANY through shipping, port clearance and arrival
• Coordinating inbound and outbound freight and transport
• Inspecting incoming machines and reporting transport damage
• Raising purchase orders for attachments and fit-out items
• Following up suppliers and monitoring lead times
• Coordinating pre-delivery inspections and fit-out with the Service team
• Keeping Sales updated on machine progress and delivery dates
• Checking pre-delivery documentation, photos, machine hours and sign-off prior to release

About you

• At least 2 years' experience in warranty administration, ideally within a heavy equipment, truck, agricultural, automotive or similar dealership environment
• Experience preparing and submitting OEM warranty claims
• Experience raising purchase orders and dealing with suppliers and freight providers
• Good organisational skills and strong attention to detail
• The ability to manage multiple machines, suppliers, claims and deadlines at the same time
• A practical understanding of machinery and the ability to interpret technician reports
• Good communication and follow-up skills
• Confidence using Microsoft Excel, Outlook and dealer or ERP systems

Highly regarded

• Experience in any of the following would be advantageous:
• SANY or another major equipment manufacturer
• Import freight, shipping documentation or port clearance
• Heavy construction equipment
• Crushing and screening equipment
• Asphalt or road construction machinery
• Trucks or electric vehicles
• Diesel or heavy plant mechanical environments

Hours

This is a part-time position of approximately 25–30 hours per week.
