Job summary

Aqua-Tech Drinking Water Solutions in Coorparoo QLD is seeking a proactive Scheduling Administrator to support service delivery and administration. You will plan daily technician schedules, liaise with customers, and coordinate field service orders to ensure timely, efficient service.

You will handle data entry, quotes, and invoicing while maintaining strong communication with internal teams and external agents.

  • Experience planning and scheduling in a trade or service environment.
  • Proficient with job management software is highly regarded.
  • Strong communication and interpersonal skills.
  • Excellent time management and multitasking abilities.
  • Ability to work autonomously and as part of a team.

Responsibilities

  • Provide exceptional customer service as the first point of contact.
  • Plan daily schedules for service technicians to meet maintenance requests.
  • Liaise with customers to ensure timely and efficient service.
  • Coordinate field service orders with facilities management for scheduling.
  • Work with internal technicians and external service agents to complete orders.
  • Manage in-house programs to keep data accurate and up to date.
  • Provide general administrative support including quotes and invoicing.
  • Coordinate inductions and documentation with the compliance team.

The Role

Duties will include but not be limited to:

Provide an exceptional level of customer service to clients as the first point of contact.

Plan daily schedules for service techinicians to ensure timely attendance of maintenance requests.

Liaise with customers to ensure timely and efficient service is provided

Liaise with facilities management companies throughout work order processes to ensure field service orders are scheduled effectively and efficiently.

Actively liaise with internal technicians and external service agents to ensure timely completion of field service orders and compliance.

Manage in-house programs to ensure all data is accurate and up to date.

General administrative support including quotes and invoicing.

Liaison with compliance department to ensure inductions and documentation is complete and accurate for individual client requirements.

What we're looking for

Proven experience and ability for planning in a scheduling role in a trade or service environment.

Experience with job management software will be highly regarded

High level communication, customer service and interpersonal skills

Excellent time management, organisational skills and multitasking abilities.

A proactive, problem-solving mindset with keen attention to detail.

Well-developed computer skills and an ability to perform accurate and efficient data entry.

Ability to work autonomously and as part of a team.

Experience in prioritising and managing workloads within a busy environment.

Building and maintaining relationships with customers.
