Job summary

Civilmart is seeking an Operations Administrator to support the Warnervale site. Reporting to the Branch Manager, the role covers accounts payable, purchasing, production data entry, inventory management, stock takes, payroll administration and general site administration.

You will work with Operations, Production, Finance, Payroll and Procurement to keep information accurate and systems up to date, and to resolve issues efficiently.

Qualifications

  • Certificate III/IV in Business Administration or related discipline desirable.
  • Minimum 2 years' experience in administration, operations support or a similar role.
  • Experience in manufacturing, infrastructure or industrial environment desirable.
  • Experience working with ERP or business management systems.

Responsibilities

  • Process supplier and freight invoices; resolve discrepancies.
  • Raise purchase requisitions and maintain PO records.
  • Enter production data into ABM; resolve discrepancies with Production.
  • Maintain BOMs and MIN/MAX data.
  • Coordinate stock takes and cycle counts; reconcile variance.
  • Support payroll through Tanda; manage timesheets and leave records.
  • Provide general administration and filing for Warnervale site.

Job Description

About the Role

Reporting to the Branch Manager, the Operations Administrator will play an important role in keeping the site running efficiently.

This is a hands-on administration role that covers a broad range of operational activities, including accounts payable, purchasing, production data entry, inventory management, stock takes, payroll administration and general site administration.

You will work closely with Operations, Production, Finance, Payroll, Procurement and other teams to ensure information is accurate, systems are up to date and issues are followed through to resolution.

Key Responsibilities

  • Process supplier and freight invoices and assist with resolving invoice discrepancies.
  • Raise and maintain purchase requisitions and purchase orders, ensuring correct coding and information.
  • Assist with supplier setup and maintain supplier records.
  • Review outstanding purchase orders and follow up delivery information where required.
  • Accurately enter production data into ABM and identify and resolve discrepancies with the Production team.
  • Assist with maintaining product information, including MIN/MAX data and Bills of Materials (BOMs).
  • Process stock adjustments and maintain accurate inventory records.
  • Assist with coordinating annual and periodic stock takes, including data entry, reconciliation and variance reporting.
  • Complete regular cycle counts and investigate inventory discrepancies.
  • Support payroll administration through Tanda, including timesheets, leave records and weekly incentive spreadsheets.
  • Liaise with labour hire providers regarding timesheets and employee information.
  • Assist with onboarding and maintaining employee records within Tanda.
  • Provide general administration and office support to the Warnervale site.
  • Maintain accurate filing systems, registers and operational records.
  • Assist with reporting and other operational administration as required.
  • Work collaboratively with internal teams and external suppliers to follow up outstanding information and resolve issues.

You will ideally have:

Qualifications & Experience

  • Certificate III or IV in Business Administration, Business or a related discipline is desirable.
  • Equivalent practical experience in administration or operations support will also be considered.
  • Minimum 2 years' experience in administration, operations support, production administration or a similar role.
  • Experience in a manufacturing, construction, infrastructure or industrial environment is desirable.
  • Experience working with ERP or business management systems.
  • Previous experience with production data entry, inventory administration, purchasing or accounts payable is advantageous.
  • Current unrestricted driver's licence where required.
  • Valid working rights in Australia.

Skills & Knowledge

  • High level of accuracy and attention to detail.
  • Strong organisational and time management skills.
  • Ability to manage competing priorities and meet deadlines.
  • Ability to identify data discrepancies, investigate issues and coordinate corrective actions.
  • Understanding of production administration, inventory control and general manufacturing processes.
  • Working knowledge of purchase orders, supplier invoices and basic accounts payable processes.
  • Strong document control, filing and record-keeping skills.
  • Ability to work independently while also contributing to a wider operational team.
  • Ability to work effectively in a fast-paced manufacturing environment.

IT Skills

  • Competent with Microsoft Office, particularly Excel, Word and Outlook.
  • Ability to maintain spreadsheets, prepare reports and analyse basic operational data.
  • Experience using ERP or manufacturing systems.
  • Ability to learn and confidently use internal systems, including payroll, document management and reporting platforms.
  • Accurate and efficient data entry across multiple systems.

Communication

  • Clear and professional written and verbal communication skills.
  • Ability to communicate effectively with Operations, Production, Finance, Payroll, Procurement and Sales teams.
  • Confident following up outstanding information and resolving discrepancies with relevant stakeholders.
  • Ability to communicate professionally with suppliers, labour hire providers and external service providers.
  • Ability to prepare clear operational correspondence, reports and supporting documentation.
