Vision Asset Group Pty Ltd is seeking an experienced Office Manager to join its team.

Type: Full time

The Office Manager is responsible for planning, organising and administering our office services, administrative systems and operational support functions. The role will support the broader team by ensuring that office services are delivered efficiently and that administrative practices comply with applicable organisational policies and regulatory requirements.

Key Duties and Responsibilities
  • Plan, organise, coordinate and review office services, administrative systems and operating procedures.
  • Establish office priorities, service standards, workflows and administrative performancerequirements.
  • Allocate work to administrative staff, monitor workloads and performance, and ensure tasks are completed accurately and within required timeframes.
  • Coordinate staff rosters, leave coverage, workplace training and performance review processes.
  • Coordinate recruitment administration, employee onboarding and the maintenance of personnel records.
  • Develop, implement and review office policies, procedures and administrative systems.
  • Manage office records, databases, document-control processes and electronic and physical filing systems.
  • Ensure confidential client, property, financial and employee information is securely stored and accessed only by authorised personnel.
  • Manage office facilities, equipment, telecommunications, supplies, maintenance and other administrative resources.
  • Select and liaise with accountants, information technology providers, contractors, suppliers and other external service providers, and monitor the delivery of their services.
  • Liaise with legal representatives, property managers and leasing agents regarding office leases, rental payments, premises maintenance and repairs.
  • Monitor office expenditure, supplier invoices and approved administrative budgets, and identify material variances.
  • Monitor relevant legislative, regulatory and organisational requirements and implement necessary changes to office policies, procedures and administrative systems.
  • Implement workplace health and safety procedures and maintain associated office records.
  • Monitor office activities to ensure compliance with organisational policies and applicable legal and regulatory requirements.
  • Prepare management reports concerning staffing, office operations, expenditure and administrative performance.
  • Identify, recommend and implement improvements to office systems, workflows and procedures.
Required Qualifications, Experience and Skill Set
  • - At least AQF Diploma or equivalent in relevant field
  • - At least 12 months of relevant professional experience in office management
  • - Strong time management, leadership and team management skills, problem-solving and sound operational decision-making, records and document management skills, strong written and verbal communication, accuracy and attention to detail

The position is primarily an office management role. It is not principally responsible for selling or leasing property, managing a rental portfolio, conducting inspections, reception work, routine data entry or trust accounting.
