Task & responsibilities
- Coordinate and oversee the day-to-day administrative functions and resources of the medical office.
- Contribute to the planning, improvement and review of office services, including establishing priorities and service standards.
- Effectively allocate staff, office space, equipment and other resources to support smooth business operations.
- Allocate duties to administrative staff, monitor performance and provide appropriate guidance and support.
- Maintain and manage office records, financial accounts, documentation and administrative information.
- Liaise with medical professionals and other stakeholders to coordinate office activities and assist in resolving operational issues.
- Monitor office equipment, stationery and supplies to ensure they are properly maintained and available when required.
- Promote and maintain compliance with occupational health and safety requirements across the office.
- Ensure administrative activities and workplace practices comply with relevant government legislation, policies, procedures and standards.
- Coordinate recruitment, staff onboarding, promotions, performance reviews, payroll, training and staff supervision.
- Support effective communication between management, administrative staff and healthcare professionals.
- Identify administrative issues and implement practical solutions to improve office efficiency.
- Maintain confidentiality and handle sensitive business and patient-related information appropriately.
- Assist management with administrative planning, reporting and the ongoing improvement of office systems and procedures.
Qualification & experience
- 1–3 years of relevant office management or administrative experience.
- Relevant studies or qualifications must be successfully completed.
- Strong organisational and time-management skills.
- Excellent communication and interpersonal skills.
- Ability to coordinate staff and manage multiple administrative priorities.
- Good understanding of workplace procedures, records management and office operations.
- Ability to work independently while contributing effectively to a professional team.
